Job Description
Kelly is seeking a detail-oriented and dependable Administrative Assistant to support a dynamic team in a fast-paced office environment. The successful candidate will coordinate documents, gather and input data, and perform a wide range of administrative tasks for a department or organizational group. Activities will be performed under a moderate degree of supervision.
Key Responsibilities
- Provide administrative support by conducting research, preparing statistical reports, and addressing routine information requests.
- Gather, compile, verify, and accurately enter information into reports, presentations, forms, databases, or spreadsheets.
- Assist with data collection, data entry, and generating reports on departmental activities.
- Prepare correspondence, receive visitors, arrange conference calls, and schedule meetings.
- Respond to or redirect routine inquiries from external or internal sources about the organization, department, or processes.
- Prepare documentation for payment to vendors, suppliers, or third parties; enter payment requests into the accounting system and address account/payee inquiries.
- Maintain departmental policies and procedures documentation.
- Participate as a team member on departmental improvement projects as needed.
- Perform other routine administrative activities as assigned according to established procedures.
Additional Duties
- Answer incoming calls and direct inquiries appropriately.
- Process payments, issue purchase orders, and maintain associated documentation.
- Manage billing to ensure timely processing.
- Organize and file physical and digital paperwork.
- Perform general office tasks as assigned.
Qualifications
- Minimum 1 year of administrative experience.
- Strong communication and organizational skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask while maintaining close attention to detail.
- Professional demeanor and willingness to learn.
