The Interdisciplinary Humanities Center (IHC), founded in 1987, serves faculty and students in fine arts, humanities, and the humanistic social sciences. IHC’s mission is to advance knowledge about human experience in cultural, historical, and social contexts through programs that foster agency, social connectivity, and civic empowerment. It provides research funding through grants, fellowships, and awards; funds several research units and 8‑12 research focus groups; offers interdisciplinary courses each quarter; and hosts events in its conference spaces.

Brief Summary of Job Duties
Under the general supervision of the Business Officer, the Administrative Assistant manages transactional financial efforts for IHC. Duties include accounting, fund tracking, payment processing (travel, honoraria, forms, entertainment, payroll, etc.), generating reports, interacting with faculty and staff, interpreting University financial policies, and serving as backup for payroll and UCPath initiation.

Required Qualifications
- High School Diploma or equivalent experience
- Excellent typing and computer skills
- Excellent attention to detail and data entry skills
- Excellent communication skills
- Proficiency with Microsoft Office (Excel, Word, PowerPoint)
- Proficiency with Google Workspace (Sheets, Docs, Gmail, Chat)
- Proficiency with Zoom
Preferred Qualifications
- 1‑3 years working with financial data
- 1‑3 years working with UC systems
- Solid knowledge of University Accounting forms and processing
- Knowledge of UC policies relating to travel, entertainment, reimbursements, and procurement
- Knowledge of UC programs such as GUS, Gateway, FlexCard, UCPath, Espresso, and travel/reimbursement applications
- Knowledge of accounting principles
- Professional interface with staff, faculty, and students; comfortable explaining reimbursement policies
- Ability to set priorities, multi‑task, and meet deadlines
- Good judgment, common sense, and discretion
- Team‑work skills
- Analytical and problem‑solving skills

Job Functions and Percentages of Time
- 30% Financial Support – handles travel requests, entertainment reimbursements, membership payments, grant disbursements, vendor follow‑up, policy interpretation, Excel reporting, and budget support.
- 30% Administrative Support – front desk and general office duties, conference room scheduling, maintenance requests, student assistant coordination, and course administration.
- 20% Event & Programming Coordination – oversees logistics for IHC events, coordination of catering, speaker arrangements, promotion, and travel details.
- 15% Purchasing Support – makes FlexCard purchases, processes corporate card reimbursements, and assists with procurement systems.
- 5% Backup Payroll Processor – supports payroll initiation, salary cost transfers, and related online transactions.
