Position Summary Senior Executive Associate & Project Manager
to serve as both the right hand to the Founder and the operational integrator for the organization. This hybrid leadership operations role requires strategy, structure, and service skills, managing high‑order project coordination while ensuring day‑to‑day logistics run smoothly, hiring and managing a Fulfillment & Logistics Coordinator, and overseeing broader project management, systems, and communication architecture.
Core Responsibilities
Strategic Project Management
Lead cross‑departmental coordination across the DENA Forward Alliance’s core pillars: Care Management Network, Housing & ADU Projects, Financial Equity Instruments, and Community‑Centered Design Initiatives.
Translate strategic objectives into clear project plans, milestones, and dashboards using Asana, Airtable, or ClickUp.
Support grant deliverables, reporting calendars, and partnership follow‑ups, ensuring all commitments are met on time.
Track dependencies and communicate progress across internal teams, contractors, and external collaborators.
Prepare briefing materials, memos, and presentations for high‑level meetings, funders, and advisory boards.
Executive Operations & Coordination
Manage the Founder’s calendar, task flow, and communication priorities to optimize efficiency and reduce administrative burden.
Oversee internal meeting rhythms (weekly team check‑ins, sprint reviews, post‑event debriefs) and ensure follow‑up tasks are documented and completed.
Draft correspondence, agreements, and internal communications that keep the team aligned and accountable.
Administrative Fulfillment & Vendor Oversight
Supervise fulfillment workflows such as printing, packaging, mailings, and event logistics.
Manage vendor relationships with printers, couriers, and event partners.
Hire, onboard, and supervise the Fulfillment & Logistics Coordinator, ensuring that physical tasks are executed efficiently in Pasadena and surrounding areas.
Conduct two in‑person days weekly in Pasadena to oversee operational needs, on‑site coordination, and community‑facing tasks.
Systems Design & AI Integration
Spearhead integration of AI‑powered tools into operations — document drafting, workflow automation, scheduling optimization, and data tracking — to increase organizational efficiency.
Develop SOPs that combine human touch with tech‑enabled systems, ensuring continuity and clarity across programs.
Identify opportunities to use digital tools and AI dashboards to improve transparency, reporting, and staff accountability.
Leadership Support & Organizational Culture
Serve as a liaison between the Founder, staff, and external partners — promoting clear, compassionate communication.
Model Shared Harvest’s values of wellness, service, and relief in every interaction.
Create visibility structures that highlight team successes and ensure that no project or partner falls through the cracks.
Qualifications
5–7 years of experience in executive operations, project management, or program coordination, preferably in a nonprofit, civic innovation, or social‑impact setting.
Proven ability to manage multiple projects, stakeholders, and deliverables simultaneously.
Strong familiarity with Asana, Airtable, Slack, and Google Workspace; experience with AI productivity tools (ChatGPT, Notion AI, Otter.ai, Zapier, etc.) a plus.
Demonstrated ability to translate complex ideas into clear action plans and timelines.
Excellent written and verbal communication; high emotional intelligence.
Based in Greater Los Angeles with ability to be on‑site in Pasadena at least two days per week.
High integrity, discretion, and adaptability.
Compensation & Schedule
Hours: 30 hours per week (hybrid — remote with two in‑person Pasadena days).
Compensation: $40–$48/hr (equivalent to $62,000–$75,000 annually).
Status: Contractor (with option to convert to employee after 90 days based on performance and funding).
