Position Summary
The Shipping and Receiving Supervisor oversees daily shipping, receiving, and material handling operations within Cicoil, ensuring accurate, efficient, and timely movement of components, finished goods, and RMAs. The role manages a small team while coordinating with production, planning, and customer service to meet delivery commitments and maintain high standards of quality and documentation accuracy, including commercial invoices and export compliance. The supervisor ensures all transactions are processed correctly in ERP Epicor, monitors inventory accuracy, and upholds 5S and safety standards across all warehouse areas. Success means shipments are on time and error‑free, materials are received and recorded accurately, and the department runs efficiently through continuous improvement, team development, and strong cross‑department collaboration.
Minimum Qualifications
High School Diploma or equivalent.
Three (3) years of managerial experience in manufacturing, capable of resolving escalated issues and coordinating with other departments.
Strong understanding of safe handling, storage, and transport of raw materials and finished products.
Knowledge of receiving processes, including inspection and documentation of incoming shipments.
Familiarity with preparing, packaging, and shipping wire and cable products efficiently and accurately.
Familiar with quality control and inventory tracking systems.
Familiarity with shipping software such as UPS WorldShip, FedEx Ship Manager, and ERP systems (Epicor preferred).
Knowledge of wire and cable manufacturing processes, supply chain principles, and inventory management.
Understanding of quality control standards and how they impact shipping and receiving operations.
Knowledge of safety regulations and environmental policies related to shipping and receiving operations.
Job Responsibilities
Supervise international freight logistics, including preparing Bill of Ladings, Waybills, and pick‑up schedules.
Oversee creation of International Commercial Invoices, ensuring compliance with shipping regulations and accuracy in documentation.
Coordinate clearance of incoming international shipments, working closely with customs and other departments.
Ensure knowledge and enforcement of acceptable shipping materials and methods, cost‑effective and compliant.
Monitor and perform transactions in Epicor for all outgoing shipments, ensuring accurate records and proper documentation.
Supervise preparation of shipping documents and packaging of goods in shipping containers, following packaging instructions.
Ensure correct addressing and labeling of shipments, verifying freight or postal rates, and complying with customer requirements.
Verify completion of required sign‑offs on Job Travelers before packaging, coordinating with the Quality Department.
Ensure all customer shipping instructions and requirements are met, guiding the team to fulfill specific requests and deadlines.
Arrange pickup with carriers outside normal schedules, ensuring deadlines are met for critical shipments.
Coordinate local deliveries and manage hand‑carry shipments when necessary, ensuring accurate and timely delivery to customers.
Supervise drop‑off of shipments at local UPS/FEDEX locations as needed, tracking shipments.
Provide leadership and direction to the shipping team in preparation of outgoing shipments, following procedures efficiently and accurately.
Supervise unloading of incoming shipments, verifying accuracy of contents against purchase orders and invoices, inspecting for damages or discrepancies, taking corrective action.
Collaborate closely with procurement, production, and quality control teams to ensure timely availability of materials and resolve issues related to received goods.
Maintain accurate records of all received goods, ensuring the inventory system is updated promptly and all necessary paperwork is processed.
Supervise return process for defective or incorrect items to suppliers, ensuring proper documentation, communication, and follow‑up.
Assist in monitoring stock levels, conducting regular inventory audits, and making adjustments to ensure accuracy and avoid stockouts.
Enforce adherence to all company policies, safety regulations, and quality standards in all receiving and shipping processes.
Oversee inventory of shipping materials and supplies, ensuring adequate stock levels and submitting replenishment requests when needed.
Ensure shipping and dock area is organized, maintaining cleanliness and safety standards.
Promote a culture of safety and compliance within the shipping and receiving areas.
Physical Requirements The employee must be able to lift and move materials weighing up to 50 pounds and endure prolonged periods of standing and walking within the facility. The employee may be required to stand, walk, bend, reach, and lift materials or equipment as needed. The position may also require occasional climbing, kneeling, or operating machinery. The work environment is primarily within a manufacturing facility, where the employee may be exposed to moderate to high noise levels, moving mechanical parts, and varying temperatures. Personal protective equipment (PPE) must be worn as required by company policy and safety regulations.
