We’re expanding our support team to include an Executive Assistant. This role is essential in ensuring a seamless and positive experience for every guest whether they’re asking about menu items, orders or employment opportunities.
As GSR Group continues to expand its global operations we are seeking an experienced, highly organized and proactive Executive Assistant to provide direct support to senior leadership. The successful candidate will act as a trusted right hand ensuring seamless execution of day-to-day executive functions and strategic initiatives.
Position Summary The Executive Assistant will be responsible for managing administrative, strategic and operational tasks on behalf of the executive team. This individual will serve as the central point of coordination for internal and external communications, confidential matters and executive scheduling.
The role requires exceptional judgment, discretion and a polished professional presence. The ideal candidate is someone who thrives in a fast-paced environment, anticipates needs and maintains a high level of efficiency and reliability.
Key Responsibilities
Manage complex calendars, meetings and travel itineraries for executives.
Prioritize and manage multiple tasks while ensuring all deadlines are met.
Handle confidential information with discretion and professionalism.
Draft, proofread and manage executive correspondence, memos and reports.
Prepare and organize documents, presentations and meeting materials.
Coordinate and attend meetings (virtually or in person), record minutes and follow up on action items.
Assist in tracking business goals, KPIs and project milestones.
Support strategic planning sessions and ensure execution of deliverables.
Coordinate internal workflows to enhance efficiency and cross-departmental collaboration.
Conduct market or business research to support executive decision-making.
Communication & Liaison
Serve as the first point of contact for the executive office, managing inquiries, correspondence and scheduling requests.
Build and maintain strong relationships with key stakeholders, clients and partners.
Ensure consistent communication between executives and internal teams.
Financial & Logistical Coordination
Process expense reports, track budgets and handle vendor coordination.
Oversee logistics for meetings, conferences and business travel.
Support procurement and basic financial administration as needed.
Qualifications & Skills
Minimum of 13 years of experience as an Executive Assistant or in a similar senior administrative role.
Exceptional organizational and time management skills.
Excellent written and verbal communication abilities.
Strong problem-solving and decision-making capabilities.
High proficiency with productivity tools (Microsoft 365, Google Workspace, Asana, Slack, Trello, etc.).
Ability to maintain confidentiality and act with discretion in all matters.
Strong interpersonal skills and professional demeanor.
Bachelor's degree in Business Administration, Communications or related field (preferred).
Experience supporting C-level executives in a corporate or consulting environment (preferred).
Familiarity with CRM systems and project management platforms (preferred).
Comfort working across different time zones or international teams (preferred).
