Position Overview The Executive Assistant to the President of Creighton Preparatory School advances Creighton Prep’s mission by supporting the President in all administrative and organizational matters. This position requires exceptional organizational skills, discretion, and the ability to anticipate needs in a dynamic educational environment. The successful candidate will be a key liaison between the President, faculty, staff, students, parents, and external stakeholders, including leadership staff at the Midwest Jesuit Province and other Jesuit schools, and most especially with Creighton Prep’s Board of Trustees.

Responsibilities

Administrative Support:

Provide comprehensive administrative support to the President, including managing schedules, coordinating and organizing travel, coordinating meetings, drafting correspondence, and handling phone calls and emails with professionalism and discretion.

Calendar Management:

Maintain the President's calendar, ensuring all appointments, meetings, and events are organized efficiently. Anticipate scheduling conflicts and proactively resolve them. Coordinate meetings of the full Board of Trustees as well as board committees.

Communication:

Serve as a primary point of contact for internal and external communications on behalf of the President. Draft, edit, and proofread correspondence, reports, and presentations as needed and in coordination with the Chief Communications Officer, Board of Trustees and the rest of the school’s leadership team.

Meeting Coordination:

Coordinate logistics for meetings, including preparing agendas and reports, arranging facilities, arranging hospitality, distributing materials, and taking minutes when necessary. Follow up on action items to ensure timely completion.

Donor and constituent relationships:

Assist the President with donor relationships, including assisting with donor acknowledgements as well as maintaining regular tempo of contact with donors and other constituents in coordination with the Advancement Department.

Information Management:

Manage and prioritize incoming requests, inquiries, and information flow to the President, ensuring that urgent matters are addressed promptly and appropriately.

Event Planning:

Assist in the planning and execution of special events hosted by the president’s office, including donor receptions, board meetings, and community gatherings. Coordinate logistics, manage invitations, and provide on-site support as needed in close coordination with the Director of Events.

Record Keeping:

Maintain accurate and confidential records, files, and databases related to the President's office, including budget preparation, expenditures and tracking processes, ensuring compliance with relevant policies and regulations.

Collaboration:

Collaborate effectively with school leaders, Board of Trustees, other administrative staff, faculty, and department heads to facilitate seamless communication and workflow across the organization.

Special Projects:

Undertake special projects and assignments as directed by the President, which may involve research, analysis, and presentation of findings.

Qualifications

Bachelor's degree preferred, along with a minimum of 5-7 years of experience in executive support or administrative roles. Relevant experience in other areas will be considered.

Strong organizational and time-management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.

Excellent written and verbal communication skills, with a keen attention to detail and accuracy.

Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Previous experience with Google Suite is desirable.

Discretion and integrity in handling sensitive and confidential information.

Ability to work independently with minimal supervision, as well as collaboratively within a team.

Flexibility and adaptability to accommodate changing priorities and deadlines.

Knowledge of Jesuit values and commitment to the mission of Jesuit education is desirable. Must be willing to engage in Creighton Prep’s faculty/staff Ignatian educator program.
