Front Office Supervisor Location Integrated Medical Clinic 337 E. Virginia Street, Phoenix, AZ 85004
Schedule Monday - Friday 8:00 AM - 5:00 PM
POSITION SUMMARY Provides and oversees the clerical and administrative support needs of the Integrated Health Clinic. Directly supports the front desk staff, establishing workflows that will support client registration and scheduling. Provides oversight of the verification of eligibility and benefits, the administrative tasks related to client admissions ensuring accurate information is communicated to the intake team.
RESPONSIBILITIES
Supervise front office staff, including Patient Services Representatives, Admission Coordinator, and the Benefits Coordinator.
Oversee daily front desk operations to ensure efficiency, professionalism, and client satisfaction.
Coordinate coverage for front desk operations and provide backup support for Benefits Coordinator, Admissions Coordinator and front office staff when necessary.
Supervise and oversee prior authorization workflows and follow‑up to ensure accuracy and timeliness.
Provide coaching, training, performance evaluations, and disciplinary support as needed to assigned staff.
Develop and implement training, workflows, and job aids for all assigned staff.
Conduct and oversee staff training in AHCCCS eligibility and applications, Availity, Waystar, Novitasphere, Medicare, HIPAA compliance and release of information, TPL verification and TRBHA.
Conduct and oversee administrative audits, including admission information, Medicare, and TPL audits.
Serve as point of contact for insurance eligibility, benefits, and coverage information.
Ensure reception and waiting areas remain clean, professional, and welcoming.
Support clients in accessing required eligibility and identification documentation such as AHCCCS applications, Certificates of Indian Blood, and Tribal IDs.
Ensure accurate scheduling and documentation in the electronic health record.
Support compliance functions, including licensure, safety, and business continuity requirements.
Oversee preparation and distribution of client packets.
Notarize approved administrative and legal documents as needed.
Provide information to clients and visitors about programs, services, and procedures.
Ensure positive, professional interactions at the front desk and by phone.
Actively support inclusion and cultural responsiveness through CLAS standards.
Participate in staff meetings and organizational initiatives.
Perform other administrative duties as assigned.
Assist in maintaining inventory control of office equipment and supplies.
