Responsibilities
- Coordinate and monitor daily administrative activities & services in the Division of Cardiovascular Medicine.
- Oversee daily business functions including financial, human resources, outreach & marketing, and facilities & space in collaboration with the Administrative Manager.
- Identify and resolve operational concerns, ensuring appropriate actions meet division and departmental goals, guidelines, and deadlines.
- Review, screen and triage correspondence, inquiries and concerns; independently respond to routine correspondence.
- Assist with recruiting, hiring and training support staff and coordinate performance management activities.
- Plan, assign and monitor workloads of administrative support and professional services staff, including students.
- Maintain staffing levels and recommend staffing changes.
- Coordinate appointment calendars for assigned administrator or faculty leaders.
- Organize logistics for meetings, conferences, workshops and other special events; prepare and distribute agendas, record and distribute meeting minutes.
- Make travel and lodging arrangements; prepare and process reimbursement requests.
- Research, collect and compile information to develop complex division reports.
- Assist division leadership in strategic planning and decision‑making processes.
- Act as the division’s travel, purchasing and Human Resources action (Workday) initiator; liaison with university offices, faculty, staff and outside agencies.
