Position Overview
Ultimate Staffing Services is actively seeking a dedicated and detail-oriented Senior Administrator/Project Manager to join a local municipality in North County San Diego, California. This position requires an individual who is capable of managing a wide array of responsibilities in a fast-paced and dynamic environment. The ideal candidate will have strong project management skills and a knack for organization, ensuring seamless operations across various departments.
Responsibilities
Finance:
Processing vendor invoices, pulling budget reports, creating purchase orders, and processing credit card statements. General Admin:
Scheduling meetings, tracking action items and deadlines, proofreading, organizing digital files, ordering catering and supplies, providing daily status updates, screening calls, preparing meeting agendas, and maintaining stakeholder contact lists. Issues Monitoring:
Monitoring group email boxes, social media channels, and flagging items requiring follow-up. Vendor Coordination:
Coordinating with vendors, fixing broken links on the city website, researching costs, and maintaining vendor lists and department subscriptions. Special Projects:
Copying content to new SharePoint sites, migrating website content, tracking analytics, and creating dashboards and visuals. Traits:
Resourcefulness, maturity, good judgment, flexibility, and adaptability. Skills:
Proficiency in Microsoft 365 suite, attention to detail, and initiative. Familiarity with databases, AI, and content management systems is a plus.
Requirements
Education requirement is a BA.
Required Work Hours
Monday to Friday, first shift.
