Are you highly organized, calm under pressure, and passionate about keeping operations running smoothly? AJ's Safe Place is looking for a Full-Time Scheduler to manage staffing and scheduling across all departments of our growing organization.
Our programs support children and adults with behavioral and developmental disabilities through Residential Group Homes, DTA/DTT programs, Home & Community-Based Services (HCBS), and administrative operations. The Scheduler plays a mission-critical role in ensuring every team is fully staffed and services are delivered without disruption.
Core Responsibilities
Scheduling Oversight (All Programs):
Develop, maintain, and update staff schedules for all AJSP departments (Group Homes, DTA/DTT, HCBS, Admin). Ensure accurate shift coverage across 24/7 operations (including holidays and weekends). Adjust schedules for call-offs, shift swaps, emergency needs, and ratio requirements in real-time. Assign float staff, PRNs, or coverage staff as needed across multiple sites. Staff Communication & Coordination:
Send out daily shift confirmations and reminders via phone, email, and apps (e.g., When I Work). Act as point of contact for last-minute call-outs and replacements. Coordinate onboarding schedules for new hires with HR and site managers. Operations & Compliance Support:
Track time-off requests, overtime, and availability changes. Monitor and maintain shift ratio requirements (1:1, 2:1, etc.) for members with specific needs. Coordinate with HR and site managers to ensure coverage aligns with member plans and licensing rules. Submit weekly schedule reports for payroll processing. Systems & Tools:
Utilize scheduling systems like When I Work, BambooHR, and AxisCare. Maintain documentation of all coverage decisions and staff availability logs. Participate in morning admin meetings and staff coordination calls. Who We're Looking For
Experienced scheduler in healthcare, behavioral services, group homes, or similar fields (preferred but not required). Excellent communicator who can problem-solve under pressure. Tech-savvy with strong familiarity (or willingness to learn) digital scheduling platforms. Dependable, detail-oriented, and solution-focused. Requirements
Must be at least 18 years old. Able to pass a Level One Fingerprint Clearance Card background check. Valid driver's license preferred. Fluent in English (written and verbal). Able to work occasional evenings or weekends for emergencies or shift coverage needs.
