SUMMARY
The Production Coordinator supports the Production Manager in managing the end-to-end production process for direct import, Port of Entry (POE), and warehouse orders. This role requires a detail-oriented and organized individual to handle various operational tasks from order allocation through shipping. The Production Coordinator works closely with cross-functional teams, external agents, and vendors to ensure accurate, timely, and efficient order fulfillment.
KEY RESPONSIBILITIES
Order Allocation and Tracking:
Handle coordinating the production process from order allocation through delivery to ensure timelines are met.
Monitor direct import and POE orders, ensuring handoff to the forwarder at the port of export or import, as required.
For warehouse orders, track orders from allocation to warehouse receipt, confirming timely and accurate processing.
Delivery Coordination:
Work with agents to confirm production schedules and delivery dates.
Communicate any potential delays or schedule adjustments to the Production Supervisor and collaborate on reallocation strategies as needed.
Cross-functional Collaboration:
Coordinate with internal teams, including Sourcing, Design, Packaging, Imports, Sales, and Customer Service, to address production-related issues.
Serve as a liaison to ensure all stakeholders are aligned on order status and timeline expectations.
Documentation and System Updates:
Maintain accurate records of production milestones and delivery schedules in relevant ERP.
Regularly update open order statuses for both customer and vendor orders, ensuring that all details are current and visible for team reference.
Status Meetings and Reporting:
Participate in weekly order status meetings led by the Production Supervisor to ensure all deliverables are on track.
Provide up-to-date information on order status, potential delays, and action items to support team discussions and planning.
Month-End Support:
Support the Production Supervisor with any required documentation and reporting to facilitate the financial close process.
Continuous Improvement:
Identify opportunities to optimize the production process and improve efficiency.
Collaborate with the Production Supervisor to implement process improvements that enhance operational workflow and accuracy.
QUALIFICATIONS
Strong attention to detail and ability to manage multiple tasks simultaneously.
Effective communication skills to interact with cross-functional teams and external partners.
Proficiency in production tracking systems and software (e.g., Redhorse) is a plus.
Ability to adapt to changing priorities and resolve issues promptly in a fast-paced environment.
EDUCATION AND EXPERIENCE
Bachelors degree preferred.
Two plus years production and business operations experience in retail/wholesale textile or related industry, home textile.
Wholesale experience a plus.
Experienced in working in ambiguity.
Skilled in business systems and Microsoft Office.
