Summary: We are seeking a detail-oriented Administrative Assistant to support our team’s daily operations. This role is crucial for ensuring efficient flow and communication within the organization.
Responsibilities:
- Manage scheduling for clients and staff, including appointments, meetings, and activities, ensuring all parties are informed and prepared.
- Handle inbound and outbound communications via phone, email, and in-person interactions, providing excellent customer service to clients and families.
- Process client intakes and maintain accurate records in accordance with HIPAA regulations and organizational policies.
- Assist in the organization and execution of training sessions, workshops, and community events.
- Maintain office supplies inventory, ordering stock as needed, and keeping supplies organized and accessible.
- Perform data entry tasks, ensuring that all client and staff information is current and accurate in organizational databases.
- Assist with billing and accounts payable, ensuring timely and accurate payment processing.
Qualifications:
- Previous experience in an administrative or office support role is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office equipment (e.g., copiers, phones).
- Excellent organizational skills with great attention to detail and the ability to manage multiple tasks efficiently.
- Strong communication and interpersonal skills to engage effectively with staff, clients, and families.
- Must be able to pass a background check.
