Position Overview
The Receptionist will serve as the first point of contact for clients, visitors, and business partners, representing the firm with professionalism, discretion, and warmth. This individual will play an integral role in ensuring a welcoming and organized environment, while also supporting administrative operations to facilitate the seamless functioning of the office. The ideal candidate will be polished, proactive, and highly detail-oriented, with strong communication and organizational skills.
Key Responsibilities
- Serve as the first point of contact for clients, guests, and vendors, ensuring a professional and welcoming atmosphere.
- Answer and direct incoming calls promptly and courteously; take accurate messages and relay information efficiently.
- Manage the reception area to maintain a polished and professional environment at all times.
- Greet visitors and coordinate meeting logistics, including scheduling conference rooms and offering refreshments.
- Assist with calendar management, meeting coordination, and travel arrangements as needed.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution.
- Provide administrative support to the executive and operations teams, including data entry, filing, and correspondence.
- Maintain office supplies and assist with vendor management to ensure efficient day-to-day office operations.
- Uphold strict confidentiality in handling sensitive financial and client information.
- Perform other duties and special projects as assigned to support the needs of the firm.
Qualifications
- Minimum of 1 years of experience in a professional office environment; prior experience in financial services or investment advisory firms is a plus.
- Exceptional interpersonal and communication skills, with a polished and professional demeanor.
- Strong organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to manage multiple tasks, prioritize effectively, and adapt in a fast-paced environment.
- High degree of discretion, judgment, and professionalism when dealing with confidential information.
