Overview

HR and Talent Acquisition Specialist at FosterThomas — We are seeking a highly organized and proactive Administrative Assistant to support members of the executive team and the day-to-day operations of our corporate office. This role requires strong administrative skills, excellent communication, and the ability to manage multiple priorities in a dynamic environment. This is a full-time role based in our Annapolis, Maryland office. Fridays are virtual.

Responsibilities

  • Provide administrative support to executive team members, including scheduling, call coordination, calendar management, and updating databases and spreadsheets.
  • Responsible for the development of Statements of Work (SOWs), Excel reports, presentations, and other deliverables.
  • Coordinate technology needs for the company, including laptop inventory, phone system updates, office equipment maintenance, and access tools (e.g., key fobs).
  • Order and manage office supplies, ensuring availability for day-to-day business operations.
  • Plan and coordinate company events such as team meetings, off-sites, celebrations, and other activities that promote employee engagement and a positive workplace culture.
  • Communicate professionally, effectively, and courteously with clients, executives, and team members.
  • Identify and recommend process improvements and system enhancements to improve efficiency and accuracy.
  • Take on additional office-related duties and special projects as needed.

Qualifications

  • 2+ years of administrative or sales support experience in a fast-paced environment.
  • Bachelor’s degree or equivalent combination of education and experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with strong technical aptitude and ability to quickly learn new tools and systems.
  • Strong organizational skills with the ability to prioritize tasks, manage deadlines, and adapt to shifting priorities.
  • Exceptional written and verbal communication skills, with the ability to draft professional correspondence and presentations.
  • A collaborative team player with a positive, can-do attitude.
  • Proven time management skills and meticulous attention to detail.
  • Experience with event planning or employee engagement programs strongly preferred.
