Conference Coordinator
Location: Hybrid 4 days WFH/ 1 Day Onsite, Irving, TX
Pay: $18.86
Work Schedule: Monday - Friday
Responsibilities
Support operational delivery of all exhibitor elements for B2B in-person and virtual conferences, including project and financial management, staff planning, and production scheduling.
Develop and improve exhibit floor plans to maximize revenue and engagement.
Manage conference budgets and produce accurate monthly forecasts.
Provide onsite support for conference execution and liaise with partners and vendors.
Maintain an online client portal with logistical information and deadlines.
Anticipate client requests with a focus on high-value service to drive retention.
Collaborate with the Exhibit Operations leadership team to scale the business.
Build and maintain relationships with key partners and team members for successful conference execution.
Expected Results
Achieve operational excellence and execute conferences on time and within budget.
Understand the value proposition of each conference and exhibitor product.
Standardize operational processes and best practices for conference delivery.
Innovate in team management, engagement strategy, and operational execution.
Key Contacts
Internal: Conference Client Services, Exhibit Sales, Conference Logistics, and more.
External: Third-party suppliers and contractors.
Skills
2-3 years of relevant experience.
Effective in a global, cross-functional team environment.
Detail-oriented with strong communication skills.
Comfortable with event management technology platforms.
Fast learner who can deliver results in a fast-paced environment.
Team player with a proactive attitude.
Education Bachelor’s degree required (focus on events and/or marketing preferred).
