The Executive Assistant in the Division of Equity, Justice, & Inclusive Excellence supports the administrative operations of the Senior Executives, including the Vice Chancellor and Associate Vice Chancellor, and provides a high level of organization, logistical, and analytical support. The incumbent will manage internal and external communication, resolve complex issues, and oversee special projects that are highly sensitive and require independence, initiative, execution, and implementation. Duties include maintaining complex calendars, arranging travel, meeting logistics, drafting responses to routine correspondence, and serving as a project organizer and content contributor in areas related to Equity, Diversity, and Inclusion and campus climate. Functions as the gatekeeper, makes high‑level contacts, and helps develop effective information management systems within the office. Key Responsibilities
Assist in the development of internal policies and systems for managing information and projects; ensure effective flow of external and internal communication related to the Division's office. Make purchases (including promotional and marketing items), registrations, travel arrangements, and handle reimbursements for the Vice Chancellor & Chief Diversity Officer and Associate Vice Chancellor using online travel systems (Connexxus, Concur, Oracle) to prepare and submit reimbursements. Stay informed of travel and entertainment policies and procedures. Research, compile, and summarize issues, policies, and topics; provide background information, talking points, and briefing materials for the VC & CDO. Edit and proofread materials; brief the VC & CDO on priorities and deadlines. Manage highly confidential documents and upload materials to Box. Organize committees and support events, meetings, and workshops for the VC & CDO and related leadership. Coordinate projects and maintain a comprehensive database of initiatives and assignments; prioritize issues for the VC & CDO and allocate time for events, travel, and meetings. Manage calendars and the EJIE general email account, handling inquiries with discretion and diplomacy. Perform other duties as assigned. Qualifications
Bachelor's degree from an accredited university in business administration, public administration, or related field, or equivalent experience/training; and Three years of directly related, progressively responsible experience in executive support, or an equivalent combination of education, training, and experience (required). Thorough knowledge of administrative procedures and common computer applications (MS Word, Excel, PowerPoint, Outlook, CANVA). Ability to learn campus software such as Connexxus and Travel Express. Familiarity with communications including strategic planning and media requirements; ability to advise management to deliver messages to target audiences. Strong discretion, confidentiality, and political acumen; ability to manage sensitive information and engage with diverse stakeholders. Excellent time management and multitasking; ability to manage multiple calendars with changing priorities and exercise independent judgment. Strong written and verbal communication, active listening, and critical thinking skills; ability to work with staff, faculty, students, and external constituencies.
