Speed Bay Warehouse Solutions is a vertically integrated real estate investment and management platform focused on acquiring and operating shallow bay, multi-tenant light industrial assets in prime infill markets throughout the US. About The Role
Speed Bay Warehouse Solutions is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO, COO and other senior executives in our corporate and remote market offices. This dynamic individual will also serve as Office Manager, ensuring smooth day-to-day operations of the workplace while managing executive priorities. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and is comfortable balancing executive support with office management responsibilities.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the CEO, COO and other senior executives
- Manage executive calendars, scheduling meetings and ensuring priorities are met
- Arrange travel itineraries, including flights, hotels, and ground transportation
- Make dinner and event reservations, coordinating professional and client-related engagements
- Prepare meeting agendas, presentations, and follow-up action items
- Handle confidential information with discretion and professionalism
Office Management
- Oversee daily office operations to ensure efficiency and a positive work environment
- Coordinate in-office meals, team lunches, and office events
- Manage office supplies, vendor relationships, and service providers
- Support onboarding processes for new hires in collaboration with Talent Acquisition
- Serve as the central point of contact for facility needs and communications
Qualifications
- 7+ years of experience as an Executive Assistant, Office Manager, or similar role
- Strong organizational and multitasking skills with high attention to detail
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite
- Prior experience with, or willingness to become a Colorado Notary Public preferred
- Ability to anticipate needs, think critically, and offer solutions
- Professional demeanor, discretion, and a proactive mindset
- Willingness to respond and work after hours on a limited but routine basis

Compensation
The annual full-time base salary range for this role is: $85,000 - $105,000
Specific compensation is determined through interviews and a review of relevant education, experience, training, skills, geographic location and alignment with market data. Additionally, certain positions may be eligible to receive a discretionary bonus as determined by bonus program guidelines, position eligibility and Speed Bay Senior Management approval. Speed Bay offers PTO and paid holidays, the terms of which are set forth in the program policies. All full-time employees also are eligible to participate in various benefit plans, including medical, dental, vision, life, disability insurance and 401K, in each case in accordance with the terms of the applicable plans.
