The Administrative Assistant will be responsible for supporting Commercial Leadership. The position requires the ability to manage within a complex, fast paced and dynamic environment.

Main Responsibilities

  • Provides administrative support to leadership requiring an advanced knowledge of department functions and division/business unit functions
  • Assists leadership with onboarding, scheduling meetings, annual planning calendar, and offsites
  • Manages communications including telephone calls, meeting planning, email messages, and internal/external mail
  • Performs complex calendar management, coordinates meetings, travel arrangements, expenses, updates PowerPoint presentations, coordinates monthly reporting, uses Excel spreadsheets, and orders equipment
  • Provides overall clerical support including filing, copying, and other administrative duties
  • Assists in creating and managing communications and documents that may contain highly confidential information; exercises discretion and judgment in handling confidential material
  • Oversees organization and maintenance of department filing system including confidential data

About You

BASIC QUALIFICATIONS

  • At least 3 years related experience, preferably in a pharmaceutical environment
  • HS diploma
  • Proven ability to work independently, highly organized, and effective at handling multiple detail-oriented tasks in a fast-paced environment
  • Strong communications and interpersonal skills; a team player
  • High attention to detail and precision in creating/updating reports, correspondence, and/or updating presentations
  • Strong administrative and computer skills, specifically MS Office (Excel, PowerPoint, Word and Outlook)
  • Ability to interact with various levels of business functions and professionals inside and outside the organization
  • Constantly seeks, designs, and implements improvements on administrative procedures
  • Ability to interact with all employees within the organization, including senior management, and respond effectively to business needs
  • Flexibility with work schedule and overtime as needed

PREFERRED QUALIFICATIONS

  • Experience providing senior level administrative support
  • Previous pharmaceutical experience
  • Experience with confidential or proprietary information
  • Bachelor\'s Degree
