The Administrative Specialist III position is essential to the efficient operations of the Department of Campus Life and Student Support Services. The position acts as the lead administrative and support position for the department, which includes a 177-unit campus housing facility. The position performs a wide range of administrative functions and coordinates a variety of operational projects. This full-time position serves as the primary point of contact for UAMS campus housing services. Qualifications: High school diploma plus three (3) years of administrative or hospitality experience required. Intermediate proficiency with standard office computer programs (Microsoft Outlook, Word, Excel, PowerPoint). Excellent customer service and follow-up skills. Preferred Qualifications: Associate's degree or Bachelor's degree plus two (2) years of experience in project coordination, student services, or hospitality management. Advanced proficiency with standard office computer programs (PC and mobile devices) Knowledge of hospitality inventory systems and/or database management Experience with Workday Procurement Additional Information: Responsibilities Greets and assists visitors and residents in a professional and friendly manner by projecting a positive, willing-to-help attitude, always. Serves as primary administrative support for department members and point of contact for residents seeking student services. Responsible for organizing and maintaining all front desk activities, including assisting the Guest Service Manager to ensure front desk coverage, always. Prepares student/guest housing packets and performs daily check-ins and check-outs. Performs Maestro functions, including night audit and running daily occupancy reports. Responsible for receiving payments and following all cash handling guidelines, as outlined by UAMS processes and procedures. Creates, organizes, and maintains various computerized and paper files, records, and logs. Transfers calls to appropriate individuals, divisions, or departments. Demonstrates positive working relationships with co-workers and management teams across campus. Responsible for managing vendors, procurement processes, and workflows. Responsible for requesting and monitoring security access. Responsible for managing the distribution of keys, building access cards, and parking requests. Performs other duties, as assigned.
