Position Summary

The position requires a combination of clerical, scheduling, and minor accounting responsibilities. The Admin will serve as the point of contact for visitors and internal staff, coordinate day-to-day office activities, and assist with light financial and reporting tasks as directed.

Responsibilities

  • Greet and direct visitors, issue passes, and coordinate meeting room scheduling.
  • Answer and route incoming phone calls, take messages, and respond to general inquiries.
  • Collect, sort, and distribute incoming and outgoing mail.
  • Assist with minor accounting support, such as:
  • Accounts payable processing and/or other general accounting support, as needed.
  • Compile simple expense or reimbursement requests for processing.
  • Order and maintain office supplies, ensuring adequate stock for Building 4 staff.
  • Act as the first point of contact for office equipment (printer/copier/fax) issues.
  • Support officers with preparation of routine reports, correspondence, and filing.
  • Coordinate internal calendars, appointments, and meeting logistics for Building 4 leadership.
  • Perform other administrative and clerical duties as assigned.

Position Requirements

Education and Experience

  • High school diploma or GED required.
  • 1-2 years of office administrative support experience preferred.
  • Exposure to basic accounting or bookkeeping functions is desirable.

Knowledge, Skills, And Abilities

  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to handle confidential information with discretion.
  • Good written and verbal communication skills.
  • Familiarity with basic accounting principles is a plus.
