Overview
Role: Executive Assistant (part-time) at The Chartis Group. Provide remote support to 5-7 senior partners with a focus on calendar management, travel planning, and expense report management. This role is based part-time in the New York office.
Responsibilities
Proactively manage assigned partner calendars, including scheduling meetings and resolving conflicts based on an understanding of partner clients, activities, and priorities
Plan and manage travel for assigned partners, who typically visit multiple US cities each week
Prepare and submit monthly expense reports and assist with time reporting as needed
Act as the New York office lead; manage office orders, logistics, and spend with onsite presence as required
Manage client contact information in the CRM (SalesForce)
Create and manage correspondence (e-mails, holiday cards) as needed
Type and proofread documents (e.g., engagement letters, reports) upon request
Occasional support and coordination of office meetings, including catering and conference room reservations
Provide administrative support for business development, internal meetings, industry events, etc.
Support special projects and other administrative activities in support of firm objectives as assigned
Qualifications and Skills
At least 3-5 years of executive-level support experience in a professional services environment (e.g., consulting, legal, financial services)
Bachelor’s degree preferred
Exceptional organizational skills with ability to multi-task and prioritize in a fast-paced environment
Excellent verbal and written communication skills
Strong client service orientation and responsiveness
Attention to detail
Problem-solving skills with initiative and independence
Mature judgment and strong teamwork attitude
Proficiency in Microsoft Outlook and Word
Experience with SalesForce, HubSpot, MS Teams and Zoom preferred
Experience in event coordination a plus
Ability to travel ad hoc (approximately 1-2 days per quarter)
Compensation and Benefits
Salary range: $85,000-$110,000, inclusive of an annual discretionary bonus. Chartis offers medical, dental, vision, HSA, FSA, disability and life insurance, 401(k) match, paid time off, wellness stipend, and additional voluntary benefits.
