The HR Operations Specialist (Payroll & Benefits) is responsible for managing U.S. payroll processing and providing administrative support for benefits and HR reporting. This role ensures accurate and timely payroll operations across all U.S. sites and serves as the subject matter expert for payroll and payroll compliance, while also possessing knowledge of and supporting the time & attendance and benefits modules. By taking ownership of payroll and related HR operations, the Specialist will enable site-level HR Generalists to focus more on strategic, employee-facing initiatives.
Essential Functions Payroll Administration (Primary Focus)
Process weekly and bi-weekly payroll for all U.S. employees in ADP, ensuring accuracy and compliance with federal, state, and local regulations.
Maintain payroll records, reconcile payroll data, and address discrepancies.
Process bonus run payrolls and other out-of-cycle payrolls as needed.
Coordinate with Finance to ensure accurate payroll accounting and reporting.
Teach new HR team members how to process payroll and run refresher payrolls with them throughout the year to maintain a bench of backup payroll processors for each site.
Develop and maintain payroll SOPs.
Benefits Administration Support (Secondary Focus)
Provide administrative support for U.S. benefits programs, including health & welfare and voluntary plans.
Work with benefits broker and ADP service team to complete required compliance filings, attestations, and reports (e.g., gag clause attestation, W-2 cost of coverage reporting, 1095-C preparation support) as needed.
Support annual open enrollment by preparing data, testing system updates, and assisting with employee communications as needed.
Act as liaison with benefit vendors for routine data audits and issue resolution.
HR Reporting (Secondary Focus)
Develop and maintain standard and ad-hoc HR and payroll reports in ADP.
Respond to government requests (e.g., wage reporting, surveys, compliance audits).
Continuously improve reporting processes and serve as the team’s subject matter expert on ADP reporting capabilities.
Required Skills, Education, and Experience
Any combination of education and experience providing the required skill and knowledge for successful job performance will be considered. Typical qualifications would be:
Associate’s or Bachelor’s degree preferred.
2+ years of payroll processing experience required.
Preferred Qualifications
Experience processing payroll in a multi-state environment is a plus.
Experience with ADP Workforce Now is preferred. Experience with Workday is a plus.
Familiarity with employee benefits administration and compliance requirements.
Strong analytical and problem-solving skills with attention to detail.
Excellent organizational and time-management skills with the ability to manage deadlines with little to no supervision.
High level of integrity and discretion when handling confidential information.
