Primary Duties

Compose and prepare correspondence for signature and ensure accuracy and completeness.

Coordinate scheduling of management planning sessions and staff meetings.

Maintain appointment calendar and schedule meetings and make travel arrangements.

Answer, screen and route calls and relay messages as appropriate.

Greets, screens and conducts visitors to the Corporate Officer or Division President.

Interface with other Company executives on behalf of Corporate Officer or Division President in absence and handle priority contacts timely.

Research information and prepare special reports and records for Corporate Officer.

Advise Corporate Officer of any papers, projects or matters needing immediate attention.

Receive, screen and route incoming mail, prepare outgoing mail and delivery services.

Coordinate special projects or events as required.

Establish, organize and maintain detailed records and files.

Perform other related duties as required.

Minimum Requirements

Associate’s degree in Business or a related field with three years administrative and secretarial experience, or high school diploma/GED with five years administrative and secretarial experience.

55-65 words per minute typing speed.

Communication Skills Requires the ability to communicate with internal and/or external customers to obtain and/or provide explanations and modifications on technical or other complex concepts to individuals with little or no background in the area under discussion.

Numeric Skills Requires the ability to perform basic addition, subtraction, multiplication and division.

Computer Skills Advanced knowledge of various business computer applications to create complex documents, reports or graphics.

Work Conditions Works in an indoor environment. Requires frequently performing activities including stooping, bending, crawling, kneeling, grasping, reaching, climbing and lifting.
