Job Description Enrollment Management (EM) is a multi‑unit department within the Office of the Executive Vice Chancellor Academic Affairs. The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University. EM comprises multiple high‑profile, core functional units including the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal‑SOAP, Creative Services, Enrollment Analytics, and the Business Office. We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.

The Office of the Registrar supports the instructional missions of the University by providing core enrollment service to students, faculty, colleges, academic departments, professional schools and summer session in the areas of academic records, class scheduling, registration, and degree audits. Under the general supervision of the Assistant Registrar, the Academic Records Analyst is professionally skilled in applying theoretical knowledge to practical application, with extensive expertise and a profound understanding of the registrar's primary responsibilities, student record systems, and compliance with relevant regulations.

The Analyst autonomously carries out a full spectrum of duties within their role, which includes but is not limited to identifying and resolving system discrepancies, establishing and implementing database components, queries, and reports for effective program monitoring.

With a comprehensive understanding of their job, the Academic Records Analyst is adept at analyzing a range of complex issues and determining solutions. This involves information gathering, policy research, administrative process investigation, report generation, and issue referral and resolution with considerable tact and professionalism.

Providing guidance on non‑routine and sensitive matters related to student records, the Analyst recommends solutions and makes appropriate referrals.

Working independently with a focus on professional Registrar student record‑based concepts, the Analyst employs a wide and deep understanding of student record and service delivery practices, policies, and regulations when scrutinizing transcripts and records.

The Analyst is also accountable for managing the workload of the department and providing support to other team members during busy periods, as well as coordinating the completion of the Academic Records processing schedule.

Playing a crucial role in promoting student success, the Analyst is pivotal in safeguarding the integrity of academic records and services.

Key Responsibilities

Accrue and maintain a comprehensive database of student records, ensuring accuracy and completeness.

Identify and resolve discrepancies in student data through targeted investigation and corrective actions.

Develop and implement database components, queries, and reports to support academic program monitoring.

Analyze complex issues involving student records, applying policy knowledge to recommend solutions.

Provide guidance on sensitive matters related to student records and facilitate appropriate referrals.

Coordinate with internal and external stakeholders to ensure timely completion of the Academic Records processing schedule.

Maintain confidentiality of sensitive information in accordance with university policies and regulations.

Assist team members during peak periods and support collaborative service delivery.

Qualifications

Experience interpreting policies, regulations, and practices related to student records services.

Thorough knowledge of university policies, processes, and procedures concerning privacy rights of students and access to information (Federal and California law).

Working knowledge and demonstrated ability to use complex databases and analyze student academic records.

Strong problem‑identification, critical‑thinking, and problem‑solving skills; judgment and decision‑making ability.

Knowledge of Registrar core functions (degree requirements, special enrollment, veterans' benefits, residency).

Ability to research, analyze, and interpret academic records, transcripts, grading systems, and curricula.

Strong organizational skills and ability to meet deadlines while working independently.

Excellent written and verbal communication skills; proficient customer‑service orientation and interpersonal skills.

Knowledge of university‑specific computer applications and productivity software.

Ability to work collaboratively across campus departments and external agencies.

Proficiency in interpreting and applying policies to diverse learning communities.

Background check clearance required; completion of Child Abuse and Neglect Reporting Act (CANRA) form if duties require direct contact with children under 18.

Special Conditions

Job offer contingent upon satisfactory clearance based on background check results.

Must be available to work evenings and weekends during peak periods; some domestic travel may be expected.

Pay Transparency Act Annual Full Pay Range: $65,800 - $115,000 (will be prorated if the appointment percentage is less than 100%). Hourly Equivalent: $31.51 - $55.08

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure, and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
