About the Role
The Executive Assistant will support the CEO’s work, managing professional and personal workflows, anticipating needs, and ensuring follow-through across a wide range of priorities. These include:
- Direct investments and board involvement
- Strategic partnerships and relationships

This role offers a front-row seat to executive decision-making and the opportunity to help build and maintain systems that support meaningful, high-impact work. You will play a pivotal role in ensuring the CEO remains focused on the highest-leverage priorities while delivering operational excellence behind the scenes.
Key Responsibilities
Calendar, Scheduling Management & Travel
- Manage a complex, high-volume calendar spanning professional, philanthropic, and personal commitments
- Manage and execute complex domestic and international travel arrangements for the CEO, encompassing both professional obligations and personal commitments
- Coordinate internal and external meetings, events, and travel in alignment with strategic priorities
- Serve as the primary liaison for all scheduling requests and engagements of the CEO
Executive Operations & Workflow
- Drive administrative processes including approvals, document flow, project tracking, and follow-upsPrepare briefing materials and ensure timely execution of deliverablesAnticipate CEO needs and develop systems that enhance efficiency and organizationProvide oversight and leadership to a personal assistant responsible for supporting the executive assistant across key areas including complex travel logistics, personalized gifting, hospitality coordination, high-touch event planning, and personal calendar management.Maintain and manage vendor documentation (contracts, NDAs, invoices), coordinating with accountingManage contact databases and relationship tools (e.g., Affinity, Outlook, Airtable, Notion)

Experience
- 5+ years in executive support, operations, or project coordination
- Track record of success in a fast-paced, high-discretion work environment
- Experience managing sensitive information with professionalism

Requirements

This role reports to the CEO and President and serves as a key support function across multiple workstreams, including philanthropy, investments, advocacy, operations, art, real estate, and household management.
