Summary : The Executive Assistant ensures smooth daily operations by coordinating high-level meetings, preparing and managing confidential documents, and serving as a central point of communication for leadership and the broader team. This position requires professionalism, discretion, and a proactive approach to support leaders in a dynamic, fast paced environment.

Title: Executive Assistant

Location: Raleigh, N.C.

Objective of this Role: Support the CEO, COO and CFO primarily and provide additional support to executive team members, as directed, to ensure the company goals and objectives are accomplished and that operations run efficiently. Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and eternal resources to expedite workflow. Manage communication with employees by liaising with internal and external executives on various projects and tasks. Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.

Minimum Qualifications

  • Strong time management skills and an ability to organize and coordinate multiple concurrent projects
  • 4+ years of experience as an Executive Assistant, Office Manager, or similar role
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time-management skills
  • Strong communication skills, both written and verbal
  • Ability to maintain confidentiality with sensitive information

Responsibilities

  • Manage professional scheduling for CEO, COO and CFO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information of senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
  • Maintain professionalism and confidentiality with all material
  • Organize team communications and plan events, both internal and off-site

Physical Demands: While performing the duties of the job, the employee is frequently required to stand walk, sit, use hands to finger, handle, or feel, and talk or her, climb stairs and/or ladders. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 50 pounds. Some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
