Position Summary

The Accounting Specialist is a key role within the finance team at Aegis Administration, responsible for managing accounts payable and receivable, maintaining accurate financial records, and ensuring the integrity of the company's financial reporting. This position will report to the Controller and will play a vital role in the overall financial health of the organization by supporting multiple company bookkeeping and accounting functions.

Key Responsibilities

  • Accounts Payable Management: Process vendor invoices and expense reports in a timely manner, ensuring accuracy and compliance with company policies. Maintain organized records of all payables.
  • Accounts Receivable Management: Generate and send invoices to clients, ensuring timely billing for services rendered. Monitor receivables, following up on outstanding invoices and resolving discrepancies as needed.
  • Bookkeeping and Record Keeping: Maintain accurate and up-to-date financial records for multiple companies, including data entry and reconciliations. Ensure that all financial transactions are recorded accurately in the accounting system.
  • Banking Reconciliations: Perform monthly bank reconciliations, comparing bank statements to company records to identify and resolve discrepancies. Ensure that all bank transactions are accurately recorded.
  • Financial Reporting: Assist in the preparation of the monthly reporting package, including financial statements and management reports. Provide analysis of financial data to identify trends and inform decision‑making.
  • Compliance and Internal Controls: Ensure compliance with accounting policies and procedures, as well as relevant regulations and standards. Support the Controller in implementing and monitoring internal controls.
  • Collaboration with the Finance Team: Work closely with the Controller and other finance team members to streamline accounting processes and improve efficiency. Participate in team meetings to discuss financial performance.
  • Project Support: Assist with special projects as assigned by the Controller, including financial audits, system upgrades, and process improvements. Provide support during external audits.
  • Continuous Improvement: Stay informed about accounting best practices and industry trends to enhance skills and contribute to the team's success. Suggest improvements to accounting processes and systems.

Key Performance Indicators (KPIs)

  • Timeliness of Payments: Ensure that 95% of vendor invoices are processed and paid within the agreed-upon terms.
  • Invoice Accuracy: Maintain an accuracy rate of 98% for invoicing and payment processing, minimizing discrepancies and errors.
  • Receivables Aging: Achieve a target of 90% or higher for receivables collected within the agreed-upon terms.
  • Reconciliation Efficiency: Complete monthly bank reconciliations within 5 business days of receiving bank statements.
  • Reporting Timeliness: Ensure that all financial reports are prepared and submitted on time as part of the monthly reporting package.

Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, or a related field is preferred.
  • Experience: Minimum of 2 years of experience in accounting or bookkeeping, with a focus on accounts payable and receivable.
  • Skills: Strong understanding of accounting principles, practices, and regulations. Proficient in accounting software and Microsoft Office Suite.
  • Interpersonal Skills: Excellent communication skills, with the ability to work collaboratively within a team environment.
  • Attention to Detail: Strong analytical and problem‑solving skills, with a keen attention to detail and accuracy in financial reporting.
