The Administrative Assistant will provide high-level administrative support to senior executives within the Tishman team, ensuring leaders can focus on strategic priorities while day-to-day operations run seamlessly. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a fast-paced, dynamic environment.

In addition to executive support, the role will contribute to the smooth functioning of Tishmans NYC office, reinforcing a professional and welcoming environment for employees and guests.

Key Responsibilities

Executive Support: Provide proactive support to senior executives, including complex calendar management, scheduling, and meeting coordination. Arrange and manage travel, itineraries, and logistics. Prepare, edit, and finalize presentations, reports, correspondence, and meeting materials. Track deliverables, deadlines, and priorities; ensure timely follow-up on action items. Process and reconcile expense reports and invoices accurately. Act as a liaison and trusted representative, handling sensitive information with discretion. Build strong working relationships across teams to streamline operations and executive workflows.

Office Services Support: Welcome and assist visitors, ensuring a polished and professional first impression of Tishman. Support day-to-day office operations, including supply management, vendor coordination, and conference room scheduling. Assist with mail, courier, and package services. Provide support for internal meetings, company gatherings, and office events. Offer backup administrative support to other teams as needed.

Qualifications 5+ years of administrative experience, including direct support for senior executives; financial services, investments, or real estate experience preferred. Strong organizational skills with the ability to balance multiple priorities in a fast-paced environment. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Excellent written and verbal communication skills. Professional demeanor with exceptional interpersonal skills. Positive, resourceful, and team-oriented mindset. High degree of discretion, reliability, and confidentiality. Hospitality mindset with a hands-on, flexible, and solutions-oriented approach. Experience in NYC Class A office environments and familiarity with building management systems a plus.

Compensation & Benefits Compensation: Range is $75,000$95,000 per year, depending on relevant experience and qualifications, and an excellent benefits package.
