Front Desk Administrative Assistant – Malcolm Drilling

Responsibilities
Greeting visitors and guests at the front desk.
Answering phone calls and transferring/forwarding as needed.
Opening, sorting, and distributing mail.
Receiving incoming packages (UPS, FedEx, Amazon, etc.) and notifying recipients.
AP support: scanning and logging invoices in a spreadsheet, checking statements, and requesting missing invoices.
Scanning and filing receipts electronically and in the file cabinet.
Preparing outgoing packages as needed, including inter‑office mail.
Organizing kitchen supplies, snacks, beverages, etc.; ensuring all kitchen areas are stocked and cleaning the coffee machine.
Assisting with organizing and maintaining office supplies and related inventory.
Keeping front entrance, supply closet, shared spaces, and conference rooms tidy and presentable for guests, and watering plants.
Providing administrative support as needed: miscellaneous tasks.
Liaising with the facilities manager and the janitorial service and promptly reporting any maintenance issues.
Working 40 hours per week, 8:00 am – 4:30 pm Monday‑Friday.
Requirements
2+ years in a Receptionist or Administrative Assistant role.
Professionalism and a pleasant demeanor.
Good communication skills for answering phones.
Ability to multi‑task.
Proficiency in Microsoft Word and Excel.
Outstanding customer relations skills.
Excellent organizational skills.
Ability to work in a fast‑paced environment.
Basic data entry skills.
