We are seeking an exceptional Executive Assistant to support our visionary CEO and offer secondary assistance across departments. This role requires a proactive and highly organized professional who thrives in a fast-paced, high-profile environment, ensuring seamless operations for our executive team.
Key Responsibilities
Elite Executive Support:
Serve as the CEO's trusted right hand, managing complex scheduling, extensive travel arrangements, and calendar management with unparalleled precision.
Departmental Coordination:
Plan and execute high-impact events and strategic meetings, ensuring every detail aligns with our brand’s excellence.
Administrative Excellence:
Oversee general administrative and accounting tasks, streamlining processes to ensure optimal efficiency. Provide exceptional management of email communications and sensitive correspondence.
Operational Mastery:
Continuously support calendar organization, detailed travel plans, expense management, event registrations, and comprehensive meeting preparation.
Relationship Management:
Act as a polished representative for the CEO, handling communications with discretion and professionalism. Interface confidently with internal and external VIP clients and partners.
Detail-Driven Organization:
Anticipate needs, foresee potential issues, and proactively mitigate them, ensuring no detail is overlooked and no opportunity missed.
CEO Liaison:
Work closely with the CEO’s on-the-ground team to maintain seamless collaboration. Become the CEO's strategic memory and guiding force, keeping him focused on leading the business rather than managing it.
Trusted Advisor:
Use sound judgment and maintain the highest level of confidentiality when dealing with proprietary information.
Reporting Structure
Report directly to the Director of Operations & CEO.
Occasionally assist senior-level staff, team members, and key external collaborators in line with our mission and goals.

Essential Skills & Experience
Education:
Some college experience (2 or 4 years preferred).
Experience:
At least 4 years in high-level administrative support roles.
Tech Savvy:
Proficient in G‑Suite, Microsoft Office, Adobe Acrobat, and preferred software such as Asana, Slack, HubSpot, DocuSign, and Zoom.
Interpersonal Excellence:
Extraordinary ability to connect and build relationships with key stakeholders, both internally and externally.
Organizational Guru:
Adept at seamlessly prioritizing and managing multiple projects with exceptional attention to detail.
Work Schedule & Expectations
Availability:
Predominantly Monday to Friday, working closely with the CEO at his residence alongside the team.
Flexibility:
Must be available for occasional weekend commitments and flexible to adjust hours based on international travel and time zone variations.
Critical Responsiveness:
Flexibility and adaptability are non-negotiable, given the dynamic nature of our CEO’s schedule.
