Accounting & Systems Coordinator – Center for Career Development & Academic Exploration – UTK
Reporting to the Assistant Director, Fiscal Affairs, the Accounting and Systems Coordinator supports the business operations of the Division of Student Success and the Center for Career Development & Academic Exploration (CCDAE).
Responsibilities Pull CCDAE reports and add to shared drive for monthly ledger reconciliation. Use reports for invoicing and receipting.
New Student Orientation Fees – manage and respond to requests from the Bursar's office as it pertains to deferments, refunds, and delinquent accounts.
Process internal cost transfers for the division.
Prepare routine and impromptu fiscal reports for restricted accounts.
Assist with budget changes as needed.
Backup support as needed for P‑card and general ledger reconciliation.
Manage and maintain “What Can I Do With This Major?” (email account and website). Manage customer database for the website. Send notifications to colleges and universities when it is time to renew their annual subscription to the website. Provide invoices and receipts for products. Provide customer service by answering questions and troubleshooting when they have problems connecting to the website. Collaborate with UTK OIT with extreme link issues. Enter new customer information on the website server. Reply to daily emails in the “What Can I Do With This Major?” email account including W‑9 tax forms and completing their vendor request forms. Complete deposits for WCIDWTM income from 800+ organizations, colleges, and universities in the US and worldwide using the University of Tennessee Online Receipting Program. Process credit card payments and batch settlements via a VeriFone POS terminal. Complete batch settlements in the Payment Gateway system for the credit card payments to be included in deposits. Reconcile deposits for approximately 20 job fairs annually which generates over $300,000 in revenue. Reconcile check payments to invoices in Handshake.
Qualifications Required Qualifications
Education: Associate’s Degree
Experience: Two years of office/administrative/fiscal support experience relevant to the position, with Associate's degree.
Knowledge, Skills, Abilities:
Ability to work individually and collaboratively in a dynamic office environment.
Communication skills needed to interact effectively and courteously with a variety of companies, recruiters, colleges and universities.
Excellent customer services skills.
Skills in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) and Quick Books Pro.
Ability to learn new systems as needed (Oracle, Oracle Receivables, Oracle Billing, Orable/DASH online Receipting Tool, WCIDWTM, Handshake, Touch Net, Gateway, AR Validator, Navigate, Argos, Slate, Banner, WordPress).
Ability to execute financial and related transactions.
Ability to keep sensitive information confidential.
Preferred Qualifications
Education: Bachelor’s Degree
Experience:
One year of office/administrative/fiscal support working in higher education setting with dedicated experience working with budgets and Microsoft products, specifically Excel.
One year of experience working in DASH (or similar system), Handshake, Slate, and Banner to execute financial and related transactions.
