Job Summary
The Administrative Assistant role supports Executive Management Team and Regional Management Team to ensure smooth daily operations at the corporate office. Responsibilities include talent acquisition, employee relations, training and development, compensation and benefits coordination, compliance, organizational development, safety and training programs, receptionist duties, and internal communications.
Qualifications
Education and Experience: Minimum 2-3 years administrative assistance or clerical experience and high school diploma or equivalent.
Skills and Knowledge
- Strong organizational and time management, attention to detail, excellent written and verbal communication, and customer service mindset.
- Capacity to foster collaborative working relationships ethically and confidentially.
- Understanding of administrative record keeping, clerical support, ensuring smooth daily office operation.
- Proficiency with Microsoft Office Suite (Excel, Word). Familiarity with payroll systems, HRIS, and timekeeping tools is a plus.
- Ability to handle sensitive situations with discretion and sound judgment, strong analytical and problem‑solving skills.
- Collaborative with EMT, RMT, employees; supports corporate results with changing needs and priorities.
- Executive skills in office management and general public interaction.
- Reliability, multitasking, independent work, positive attitude.
Essential Duties and Responsibilities
- Handle receptionist duties: answer phone, respond to inquiries, direct potential tenants, manage mail.
- Manage full‑cycle recruiting: postings, screenings, reference checks, interviews, background checks, drug screenings.
- Serve as point of contact for employee inquiries and conflict resolution per Employee Handbook; promote positive relations.
- Manage employee orientation, support exit interviews, ensure smooth transitions.
- Work with Learning & Development Director to implement corporate training programs.
- Support Board and EMT with annual HR policy reviews and payroll benchmarking; provide orientation and training on Employee Handbook.
- Support EMT in scheduling benefits review meetings and direct staff to Benefits portal.
- Maintain accurate HR records and leverage HRIS for reporting and managing employee data.
- Maintain required HR documentation in secured location per EMT.
- Respond to verification of employment inquiries.
- Support RMT and EMT with file retention related to worker's compensation.
- Support health and safety programs; monitor compliance with workplace safety standards.
- Promote approved diversity, equity, and inclusion initiatives.
- Support EMT in coordinating front desk coverage and administrative functions as assigned.
