The Bid Coordinator is responsible for coordinating all aspects of the bidding process, from initial bid solicitation to final bid submission. The bid coordinator will ensure that all administrative tasks are handled efficiently to support the Estimating and Preconstruction teams. Responsibilities
Communicate with surety to acquire bonding Assist in putting together administrative elements of bid packages to include bonding, any amendments, standard forms, Reps & Certs, etc. Coordinate and schedule site visits with employees and clients Review project plans, specifications, and other bid documents to understand project requirements. Collaborate with estimators and project managers to develop accurate cost estimates for labor, materials, and equipment. Organize bid documents, including prequalification forms, bid bonds, and subcontractor quotes. Ensure compliance with all bid requirements and deadlines. Manage and distribute RFIs (Requests for Information) and addenda to keep all stakeholders updated. Collect and organize subcontractor quotes and set up bid comparison documents for estimator analysis. Set up Invitation to Bid (IFB) on platforms to include Building Connected, Construct Connect and Plan Hub Create and distribute calendar invites for critical dates internally and to subcontractors Monitor federal and public projects for amendments and changes Prepare all administrative Bid Forms Prepare and submit bids for approval according to project timelines and specifications. Once approved, submit the final bid package to the client and follow the necessary submission protocols. Coordinate with subcontractors and suppliers to gather required bid documents and pricing. Verify the accuracy and completeness of all bid packages before submission. Follow up with clients to confirm receipt of bids and address any questions or clarifications. Assist in maintaining bid opportunities, tracking bid results and gathering feedback. Record, distribute and save bid results Maintain organized records of all bids related documents and correspondence. Collaborate with cross-functional teams, including Capture, Preconstruction/Estimating, Marketing/BD, HR and finance personnel. Communicate effectively with subcontractors, suppliers, and clients throughout the bidding process. Skills & Qualifications
Strong analytical and problem-solving skills. Excellent communication and interpersonal skills. Demonstrated ability to work collaboratively in a team and under tight deadlines. Experience in the construction industry preparing bid packages; familiar with federal contracting. Familiarity with Federal Acquisition Regulation (FAR) guidelines (high level). Specifications, plans, and contract documents. Proficiency in Microsoft Office Suite (especially Word, Excel, Outlook). Adobe Acrobat (for editing and assembling submittals/proposals). Construction bid software (e.g., Building Connected, Procore, ISQFT, or similar). Strong time management and organizational skills. Attention to detail under tight deadlines. $75,000.00-$85,000.00 The base salary range for this position as of posting is Richard’s good faith estimate of the possible compensation for this role.
