Senior Client Operations Specialist

3 days ago Be among the first 25 applicants Our client is a leading and mission-driven professional services organization and is seeking an experienced Senior Client Operations Specialist consultant to support its internal client account management and billing functions. This role offers a unique opportunity to work directly with attorneys and client stakeholders, ensuring operational excellence across billing, collections, and client engagement processes. Key Responsibilities: Serve as a trusted partner to attorneys and internal teams to execute timely and accurate billing, collections, and client operations support. Interface professionally with client Accounts Payable teams to maintain strong, service-oriented relationships. Prepare and review monthly draft bills, resolve billing discrepancies, and ensure adherence to client-specific billing guidelines. Respond to time entry and billing inquiries; proactively advise timekeepers on compliance with timekeeping protocols. Obtain and process third-party expense documentation in accordance with client requirements. Manage the collections process by resolving delinquent accounts and escalating appropriately per firm policy. Review and maintain client/matter data to ensure accuracy within internal management and reporting systems. Oversee client engagement letters, ensuring they are timely, accurate, and compliant with firm standards. Provide accurate and timely reporting on billing and collections to supervisors in accordance with internal deadlines. Facilitate the processing of WIP & A/R write-offs, client refunds, and unapplied credit applications. Maintain all relevant records in compliance with firm policy and applicable legal requirements. Qualifications: Bachelor’s degree preferred; academic background in finance, accounting, or business is advantageous. 3–5 years of experience in a client operations, billing, or finance-related role, ideally within a law firm or professional services setting. Strong attention to detail, with the ability to manage high volumes of information and meet multiple deadlines. Excellent communication and interpersonal skills, including experience working with demanding clients. High level of discretion and professionalism, particularly in handling sensitive or confidential information. Proficiency in Microsoft Excel; experience with Aderant and electronic billing platforms is highly preferred. Seniority level
