Responsible for the management of all facets of the day-to-day activities within the Sales Order Administration group, including sales order review, entry, shipment, and invoicing, with a specific focus on adhering to revenue recognition rules, revenue reconciliation, and Sarbanes-Oxley compliance, while conforming to policies and established practices. Essential Duties and Responsibilities
Oversee daily activity of Sales Order Administrators to ensure timely and accurate entry of sales orders within established timeframes. Design and implement processes, procedures, and reporting to achieve and maintain Sarbanes-Oxley compliance. Review sales programs and non-standard orders to address and resolve revenue recognition issues in accordance with GAAP. Collaborate with sales and/or customers to resolve issues impacting revenue to reach a mutually acceptable resolution. Respond to non-routine questions from salespeople or customers about booking, pricing, and revenue recognition policies and procedures. Work with Contract Administration to ensure customer contracts protect the company financially. Coordinate with cross-functional Finance teams to align processes with GAAP requirements and best practices. Generate reports and analyze financial data for financial reporting. Act as liaison with Manufacturing for delivery dates and communicate to sales or customers as needed. Prepare periodic order-tracking and status reports (monthly, quarterly, annually). Maintain accurate retention and management of all department and customer-related files. Ensure data integrity within the database; develop metrics to measure data quality, order accuracy, and booking turnaround times; implement corrective actions as needed. Maximize departmental and cross-functional efficiencies through continuous improvement and process changes to improve customer experience, quality, and delivery performance. Develop, communicate, and implement goals and action plans to achieve departmental and corporate objectives. Document and maintain department training materials, internal resources, and ISO-related documents; prepare ISO-related documents as required. Enhance training methods and motivate support staff in a high-volume environment; assist in training newly hired Sales personnel as needed. Serve as backup for Credit/Collection Administrator and Maintenance Services Manager as needed. Basic Qualifications/Skills
B.S. in Finance or Business Administration. 5+ years in a Finance management role within a high-technology environment. Solid understanding of revenue recognition rules, PO terms, and general accounting principles. High energy, responsive to customer needs, and able to meet deadlines in fast-paced periods. Strong communication skills, both oral and written, across all organizational levels. Experience with NetSuite is a plus; experience in systems integration a plus.
