Description At Yale Mechanical, we design, install, and service HVAC, plumbing, sheet metal, building automation, millwright, and dock & door systems for commercial and industrial facilities across the Twin Cities, and beyond. From troubleshooting a rooftop unit in the middle of January, to installing cutting-edge systems in new construction, our work keeps businesses running strong. Responsibilities Service Dispatch & Service Coordination
Review and process service requests, dispatching the right technician with the proper skill set, paperwork, parts, and information.
Communicate clearly with customers and technicians to complete service calls and repairs to meet (or exceed) customer expectations.
Ensure parts and equipment are verified and staged for technicians to prepare for a successful installation.
Proactively monitor technician Work-in-Progress (WIP) to ensure jobs are on track and invoicing is accurate.
Customer Scheduling & Follow-Up
Schedule planned maintenance with customers.
Ensure quoted repairs are communicated thoroughly before dispatching, including scope of work, time allotment, and equipment needed.
Follow up with technicians, managers, and other departments to close the loop on repairs.
Documentation & Administration
Enter orders, source materials, create purchase orders, and track/receive inventory.
Document all job details in service/invoicing software and maintain accurate logs, forms, billing, reports, and records.
Assist with accounts payable and receivable duties.
Maintain trailer and lift check-in/check-out.
Team Support
Work closely with the Service Manager to share updates, flag unusual circumstances, and request additional resources when needed.
Quote small repairs and execute the job’s approval & completion.
Perform other duties assigned by department leadership.
Qualifications
Minimum 2 years’ experience in industrial service planning or service management, previous mechanical / technical background.
An understanding of commercial loading dock equipment, parts and functions.
Proficiency to visually inspect equipment and parts with an understanding of good / usable / bad / unusable.
Able to safely drive and operate a forklift and other types of construction equipment, with proper training and certification.
Excellent written and verbal communication skills; able to interact professionally with customers, technicians, and management.
Strong organizational and planning skills.
Comfortable in a fast-paced, technology-driven service environment.
Professional, respectful presence on the phone, via electronic communications, and physically in the office.
Basic knowledge of accounting processes.
Proficiency with Microsoft Office (Outlook, Excel, Word) and office equipment.
A team player who can also work independently with minimal supervision.
GED or High School diploma.
Must pass a criminal history background check.
Flexibility to work overtime, or to support other divisions in Dispatch, as assigned.
Physical & Mental Demands
Ability to sit for extended periods of time working at a computer or handling dispatch communications.
Ability to talk, hear, and communicate clearly.
Ability to work in a fast-paced environment, managing multiple priorities simultaneously.
Frequent use of hands and fingers to type, handle paperwork, operate office equipment, and use a telephone.
Capacity for critical thinking and decision-making under time-sensitive conditions.
Ability to maintain composure and professionalism when handling urgent service requests or challenging situations.
Occasionally stand, stoop, walk kneel, crouch, or crawl.
Reach and use hands to handle, carry and utilize tools or materials, sometimes exceeding 40 pounds.
Use close vision and adjust focus as needed.

Salary & Benefits This is a salaried, exempt role, paying at an annual gross range between $60K - $68K, depending on experience. Additionally, the company offers certain incentive programs, in line with other similarly situated employees.
