The OHS Advancement Team encompasses marketing, communications, corporate partnerships, events, and philanthropy, and is tasked with soliciting gifts from our diverse donor audiences. The Planned Giving Team, a part of the Advancement team, focuses on prospecting, managing expectancies, and navigating planned gifts like estates, trusts, and charitable gift annuities. The Position

The Planned Giving Program Manager plays a key role in this high-performing team, leveraging extensive knowledge of estates and planned gifts. This position assists with managing a large portfolio of planned-gift donors, prospects, and estates, while providing support to the planned giving team to achieve annual goals and key performance metrics. Leverage our best practices externally and grow OHS’ reputation as a leader in animal welfare. Primary Responsibilities

Planned Gift Program Strategy Collaborates with the Planned Giving Team and Advancement Leadership to develop and implement strategies for increasing the pipeline of legacy gifts and meeting/exceeding planned gift expectancy goals. Manages a portfolio of planned gift donors and prospects through regular communication, meetings, and (mostly local) travel. Contributes to CRM (Salesforce) enhancements to track and report on planned giving data. Supports marketing efforts for planned gifts, including content for the website, magazine, and educational outreach. Calculates charitable gift annuity calculations, prepares contracts and coordinates with business office for the accurate tracking, reporting and payment schedules. Champions, maintains and grows the care of surviving pet program, Friends Forever. Includes regular updates with enrollees and coordinating with admissions for the receiving of enrolled pets. Stewardship Strategy Develops and executes stewardship strategies for planned gift donors, ensuring exceptional donor experiences. Serves as primary contact for inquiries from planned gift donors and advisors. Regularly engages Friends Forever enrollees, ensuring their estate and pet information is up-to-date and leveraging relationships to deepen commitments. Plans and participates in stewardship events and communications. Additional Responsibilities Supports fundraising goals by promoting other giving opportunities. Maintains knowledge of OHS programs, finances, and impact, and is comfortable educating donors, advisors, and prospects about planned giving options. Enters donor data and stewardship activities into Salesforce, ensuring accurate and timely documentation. Drafts tailored correspondence for donors, prospects, advisors, and family members. Leads donor interactions through various channels including calls, emails, events, and meetings. Assists with the administration of probated estates, including follow-ups and preparing estate-related documents. Monitors and responds to emails in the shared account and manages volunteer tasks. Leads or supports special projects as needed. Qualifications

Minimum Qualification & Transferable Skills 3 years' experience working with planned gifts and their administration, preferably inside a non-profit organization. Exceptional writing skills: able to produce a broad range of correspondence tailored to unique situations. Demonstrated ability to interpret court filing documents and advise on next steps. Strong analytical skills, attention to detail, and proofreading skills. Flexible; able to adapt to changing priorities and work on multiple concurrent projects with regular interruptions. Able to communicate with a diverse population in a consistently informative, respectful, and professional manner. Technologically adaptable with the ability to learn and integrate continually changing technology. Ability to take initiative and self-direct work, as well as proactively assist members of the team. Proficient with MS Excel, Word, Outlook, Adobe, Monday.com, and other common office software and applications. Able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff, and volunteers. Preferred Experience with the Salesforce CRM Paralegal certification Experience with real estate transactions Notary Public or willing to become certified Diversity, Equity & Inclusion
