Catholic Community Services . System Medical Records Quality Coordinator – Tacoma, Washington (May work from any of our FBH Sites located throughout Western Washington or Oregon). Catholic Community Services, Family Behavioral Health is looking for a System Medical Records Quality Coordinator to join our innovative team. We are a values-driven organization, providing family-centered behavioral health care for children, youth, and families. Our services are provided primarily in client homes and in the community. Our aim is to help families maintain hope and collaboratively build on their strengths to reach their goals. We have sites located in Tukwila, Burien, North Tacoma, University Place, Olympia, Shelton, Bremerton, Aberdeen, Yelm, Vancouver, and Portland Oregon. Receive and process medical records requests across all FBH site staff, external agencies, and authorized individuals in accordance with FBH policies and HIPAA regulations. Redact sensitive information from clinical documents to ensure confidentiality and compliance. Track and maintain timelines for records requests, maintaining accurate logs of open and completed cases. Prioritize and manage workload effectively to meet deadlines and respond to urgent requests. Ensure all redacted and released documents are properly stored in client electronic health records. Collaborate with the FBH Medical Records Team to provide guidance on documentation release procedures and confidentiality standards. Interact with FBH staff, allied community agencies, clients, and other stakeholders as necessary to fulfill job duties. Clinical Medical Records Quality Reviews Conduct regular and random reviews of clinical records to ensure documentation is complete, timely, and compliant with Medicaid, state, and organizational standards. Monitor documentation to notify FBH System Leadership about any aspect of documentation that may constitute clinical or agency risk. Verify that medical necessity is documented for admissions, ongoing treatment, and service closures. Summarize findings from chart reviews and submit reports as required. Collaborate with FBH MRT and site CQI leads to support a culture of learning and professional development. Hipaa Uphold a culture of privacy and security in a confidential work environment. Comply with CCSWW policies and procedures involving access to and safeguarding of client Protected Health Information. Based out of the FBH System office in the North End of Tacoma, WA. Bachelor’s degree in social services or related field Must be designated by the state behavioral health licensing authority as a Mental Health Professional (MHP - Washington) or Qualified Mental Health Professional (QMHP – Oregon) or meet qualifications for such Three or more years’ experience in a progressively responsible Clinical and/or Behavioral Health Operations position Knowledgeable about healthcare privacy, healthcare quality management and quality improvement practices, medical billing systems, utilization management strategies, electronic health records Ability to work independently in addition to working as a member of a team Knowledge of approaches to continuous quality improvement Excellent interpersonal and organizational skills with the ability to communicate respectfully with families and professionals Committed to maintaining an optimistic, solution-focused, and strength-based approach in all dealings with internal and external stakeholders Must have a basic understanding of the effects of trauma upon youth and their families Computer skills with experience with Microsoft Word, Excel, Teams, and SharePoint Excellent written and oral communication skills First Aid/CPR certified or the ability to become certified within 1 month of employment Valid driver’s license & current automobile insurance, reliable transportation with an acceptable driving record per CCS policy Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services Demonstrates culturally competent service delivery and ability to work in multi-cultural settings Support and uphold the mission, beliefs, and values of Catholic Community Services of Western Washington Preferred Qualifications
Experience in a private non-profit system Experience with Wraparound or Intensive Behavioral Health Services or Children’s mobile crisis services or the equivalent Proficient with medical/behavioral health privacy regulations and electronic health record systems About Tacoma
