is seeking a Legal Administrative Assistant - Corporate (New York). This role performs a variety of administrative duties for assigned attorneys in accordance with firm policies and procedures, maintains positive contact with clients, attorneys and staff, and observes confidentiality of client matters.
Responsibilities
Solid working knowledge and a demonstrated high acumen in the operation of computer software applications, specifically Work, Outlook, iManage, Excel, PowerPoint, Adobe PDF and other firm software as required.
Prepare correspondence, memoranda and other legal documents from written and oral drafts; draft standard correspondence and other documents; edit, redline, apply style schemes, and proofread; including engagement letters, memoranda, audit letters, and other correspondence.
Understand and handle routine corporate matters such as formations, generation of organization documents and agreements.
Handle incoming mail and ensure timely outgoing mail; route mail to appropriate delivery service as needed and follow up on delivery.
Establish and maintain calendar and deadline reminder systems; utilize the master calendar system.
Open new files, request conflict checks, maintain client and general files, and conduct periodic reviews for archival or file closure.
Greet clients and visitors; maintain professional public relations and confidentiality of attorney-client relationships.
Arrange meetings and conference rooms using the firm’s reservation system.
Assist billing staff with month-end billing and other billing matters; process, proof, and edit bills as requested by assigned attorneys.
Work with administrative support staff to proof documents and ensure timely attorney time sheets submission.
Collaborate with other administrative staff and fill in when team members are on vacation; be a team player.
Provide some litigation support to assist the Litigation team when needed.
Prepare and submit travel expense reports and other business-related expenses; handle payment of outside vendor services as necessary.
Perform all essential duties and responsibilities with or without reasonable accommodation, as required by firm needs.
Knowledge, Skills And Abilities Required
5+ years’ experience in a professional environment; law firm experience preferred, with understanding of law office policies and procedures and ability to produce accurate legal documents with minimal supervision.
Advanced skill level in Microsoft Office products.
Highly motivated to support all aspects of a busy Corporate practice.
Ability to transcribe legal documents and correspondence from rough drafts or dictation at about 65 wpm.
Strong organizational and prioritization abilities to manage multiple tasks under time constraints.
Strong proofreading skills for grammatical, typographical or spelling errors.
Effective interpersonal skills to communicate with clients, attorneys and staff with courtesy and tact.
Ability to communicate clearly in person, by email and telephone.
Ability to multi-task in a fast-paced environment; occasional work beyond 40 hours per week may be required.
Working Conditions Normal law office environment with typical office exposures.
