Admin Support / Project IS (Onsite)
Location: United States Trade and Development Agency, 1101 Wilson Blvd., Arlington, VA 22209-3901
Citizenship: U.S. Citizenship
Clearance Requirements: Tier 1 Background Investigation - National Agency Check with Law and Credit Check, and fingerprints. (Standard Form 85)
Estimate Pay: $58,000 - $60,000 (negotiable)
Type of Employment: 40 hours per week
Period of Performance: 01 November 2025 – 31 October 2030 (Option to Extend Services)
Employee Paid Group Benefits Offered: Health / Dental / Vision
Paid Time Off per Year: Up to 80 hours per year, occurring on day one
Sick Leave per Year: Up to 56 hours per year, occurring on day one
Paid Federal Holidays: Eleven (11) Paid Federal Holidays
Travel: Travel is not authorized
Relationship: Employee of our company
Working Hours Work will be scheduled generally from 8:30 a.m. to 5:30 p.m., Monday through Friday. However, there may be times when the employees must work after duty hours and/or on weekends to support specific tasks. Although the schedule may have to be flexible, it will not exceed 40 hours per week. Temporary alternate work locations may be assigned.
Mandatory Qualifications
Minimum of an Associate's degree required; Bachelor's degree preferred, ideally in Business Administration, Management, or a related field
At least 7 years of relevant work experience
Experience in creating and implementing organizational or administrative management policies and procedures
Ability to evaluate program effectiveness and recommend improvements
Experience managing an agency project report library
Experience with other administrative services like office management, building and facilities management, human resources, and/or security
Ability to provide training and technical assistance to staff
Experience in information and records management
Proficient in the use of a variety of IT programs, databases, and computerized systems
Excellent written and verbal communication skills
Commitment to innovative and quality customer service
Physical ability to move a large number of files and/or file boxes
Experience providing on-site technical support, troubleshooting issues with AV equipment during events such as microphone and monitor connectivity, presentations or visual material access
Experience creating and editing audio-visual content such as presentations and videos
Experience setting up conference, board, or training rooms
Ability to manage multiple tasks, prioritize work, and meet deadlines
Ability to identify and resolve complex problems
College degree required in business or information management and/or related certifications

Duties / Responsibilities
Provide general administrative management support to USTDA operations and program staff. This support shall include but is not limited to the review and verification of grant and contract deliverables, such as final reports, cost share certifications, and final project for contract and grant invoices, travel management, building and facilities management, and other administrative management-related support.
Track the expiration of USTDA subscriptions to external publications and provide a draft action memorandum to the Director or Deputy Director of Administration for renewal requests.
Reviews grant RFP packages for completeness and consistency in conjunction with Agency staff prior to posting to the Agency's website.
Maintain and update IRC Document Flow Process Map, detailing IRCs points of intersection and document management processes within the Agency document flow, and the efficiency of both the IRCs and the Agency's business processes for the establishing and maintaining official records and documents. Assist staff in identifying and instituting process change improvements in support of Agency administrative and operational management functions.
Assist the Office of Administration with staff onboard and offboard, including, but not limited to, setting up new office space, maintaining staff directories, maintaining the Agency supply inventory, and preparing the appropriate documentation for ordering.
Provide training to agency staff on (1) IRC functions and responsibilities and (2) agency business processes and procedures as related to all IRC functions and Agency document flow
