We are expanding into Phoenix, Arizona and seeking a Front Office Administrator to serve as the front‑facing representative of our new office. This is not a traditional receptionist role; we are looking for someone highly organized, resourceful, and self‑motivated who can manage both reception and day‑to‑day office operations. As the first point of contact, you will play a key role in establishing the professional culture and smooth functioning of our Phoenix practice.
Responsibilities
Greet and assist clients, visitors, and vendors with professionalism and warmth
Answer and route incoming calls, emails, and correspondence
Manage office operations, including supplies, vendors, maintenance, and scheduling
Support attorneys and paralegals with administrative needs (filing, calendaring, organizing documents, etc.)
Coordinate meetings, conferences, and travel arrangements as needed
Maintain a professional and welcoming office environment for staff and clients
Take initiative to improve processes and ensure the office runs smoothly on a daily basis
Requirements
5+ years of experience in administrative, operations, or front‑office coordination roles (experience in legal or professional services preferred)
Strong organizational skills with the ability to manage multiple priorities
Exceptional communication and client service skills; polished and professional demeanor
Self‑motivated and comfortable working independently in a startup office environment
Proficiency with Microsoft Office Suite and office management tools
Bilingual (English/Spanish) preferred, but not required
Experience supporting attorneys or law firms is a plus
