Position Summary This full-time, non-exempt position provides high-level administrative support to three Partners in the Corporate and Tax Practice Groups in the Jackson office. LAAs provide support by managing calendars, preparing, editing, and formatting documents, maintaining client files, sustaining timely internal and external communications, etc. Key traits for success in this role include accuracy, sound judgment, responsiveness, and professionalism.
Responsibilities
Open, close, and maintain client files, keeping them organized and current, both in electronic and hard copy format.
Format, edit, proofread, and revise all letters, memos, reports, and other documents.
Maintain daily appointment calendar, book meetings, and make travel arrangements.
Facilitate meeting deadlines by proactively reviewing the calendar and providing timely reminders to attorneys.
Enter attorney time in timekeeping software (Intapp Time) and coordinate monthly billing.
Answer phone calls, take messages, and redirect calls when appropriate.
Transcribe dictation from attorneys.
Regularly communicate with clients by email, phone, and in-person.
Qualifications
Previous legal administrative assistant/legal secretary experience specific to transactions, corporate law, and/or tax is desired.
High school diploma or equivalent required; Bachelor’s degree preferred.
Willingness to embrace new technology and adapt to change.
Proficiency with the MS Office Suite, especially Microsoft Word, Excel and PowerPoint.
Experience in or ability to quickly learn iManage document management system.
Ability to multi-task and manage multiple deadlines in a fast-paced environment.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills with careful attention to grammar, spelling, and punctuation.
Excellent interpersonal and client service skills.
The Human Resources department will conduct interviews of qualified individuals prior to requesting a criminal background check, and no job application submitted prior to such interview shall inquire into an applicant's criminal history. If this position is subject to a background check for any convictions related to its responsibilities and requirements, employment will be contingent upon successful completion of a background investigation including criminal history. Criminal history will not automatically disqualify a candidate.
