Overview
The Staff Accountant role at U.S. Polo Assn. (USPA Global) is responsible for maintaining accurate, timely, and complete accounting records. This position handles accounts payable, reconciliations, and various accounting functions in compliance with GAAP and company policies. The role reports to the Assistant Controller and works closely with the CFO, contributing to special projects, reporting, and analytical studies as needed. Responsibilities
Accurately reconcile, code, and record vendor invoices and employee expense reports into the accounting software to ensure timely payments in accordance with company policies and contract terms. Maintain prompt, professional communication with vendors and employees regarding invoice status, payment inquiries, and discrepancies. Prepare and process checks and electronic payments in domestic and foreign currencies, adhering to timelines and internal controls. Post-paid invoices daily and reconcile against bank balances to maintain accurate cash flow records. Prepare Weekly “Bills to be Paid” Report for the President/CEO. Participate in weekly payment review sessions with the President/CEO to align on financial priorities. Provide weekly financial updates to the CFO, reporting approved payables in advance to facilitate timely fund transfers. Organize and maintain all payable records, including archiving, scanning, and filing for audit readiness and data integrity. Assist the Assistant Controller with monthly financial statement preparation by compiling close reports, reconciling balance sheet accounts, reviewing the A/P Aging report, and other close procedures as needed. Research, track, and resolve accounting or documentation discrepancies, documenting corrective actions and maintaining accurate records. Operate in accordance with established accounting standards, internal procedures, and applicable laws and regulations. Perform monthly reviews and reconciliations of SAP Concur expense reporting, Accounts Receivable – Other, and the AMEX credit card statements. Collaborate with various departments to review monthly payments and update payment tracking systems accordingly. Contribute to monthly and annual budget reporting by compiling relevant financial data, supporting variance analysis, and ensuring timely submission of reports. Prepare and submit 1099 forms in compliance with IRS regulations and internal procedures for year-end reporting. Support the CFO during annual audit and the preparation of income tax returns by providing requested documentation and analysis. Perform administrative duties and assist with special projects or ad hoc requests as needed. Qualifications
Bachelor’s Degree in Accounting or Finance Minimum of 3-5 years performing full-charge accounting Strong attention to detail and organizational skills Confidentiality Ability to prioritise tasks, work independently with little supervision, and be deadline-oriented Reporting and analytical skills GAAP accounting skills Basic mathematical skills Computer literate: QuickBooks, Microsoft Word, Excel, Outlook, Concur, Internet, etc. The Right Fit
