Responsibilities
Order & keep supplies stocked. Maintain communication with cleaning crew. Answer phone Keep Calendar updated, i.e. birthdays/events/vacations/continuing education scheduling Schedule monthly birthday celebrations for the staff Process biweekly payroll Knowledge of 401K rules and reporting Qualifications
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred. Minimum 3–5 years’ experience in bookkeeping, accounting, or office management (experience in an architectural, engineering, or construction firm strongly preferred). Technical Skills Proficiency with accounting software (QuickBooks, Deltek Ajera, or similar). Strong knowledge of MS Office (Excel, Word, Outlook) and ability to adapt to project management platforms. Familiarity with AIA contracts, billing formats, and project-based accounting is a plus. Solid understanding of accounts payable, accounts receivable, payroll, and bank reconciliations. Experience preparing monthly financial statements and assisting with year-end reporting. Ability to track project budgets, invoices, and consultant payments accurately. Skilled in managing vendor relationships, insurance certificates, and licensing renewals. Organizational & Communication Skills
Excellent attention to detail and strong organizational skills. Ability to multitask, prioritize deadlines, and manage day-to-day office operations. Strong written and verbal communication skills for interaction with staff, clients, and consultants. Office Managerial Skills
