Magellan Financial & Insurance Services, Inc.
Senior Client Service Associate - Wealth Management
Magellan Financial & Insurance Services, Inc., Hogarty, Wisconsin, United States
Senior Client Service Associate - Wealth Management
This is not a sales support role. This is the operational engine of one of Central Wisconsin’s premier independent retirement planning firms. We are seeking a detail-obsessed operations professional who finds deep satisfaction in flawless execution—the individual who believes “good enough” is a failure and that 100% accuracy is the only acceptable standard. For you, the integrity of the process is paramount because you understand that behind every transaction is a client’s life savings and a promise our firm has made. If you are driven by precision, thrive on structured workflows, and want your contribution to be the unshakable foundation of elite client service, this is your career-defining opportunity.
Elite Retirement Group is a 23-year-old independent Registered Investment Advisor (RIA) built on a bedrock of Wisconsin values: integrity, preparedness, and a fiduciary commitment to our clients. We manage over $168 million for nearly 1,000 households, and our reputation is built on the trust we earn every day. The Senior Client Service Associate is the guardian of that trust. You will own the critical first impression through seamless client onboarding and ensure long-term confidence by executing service requests with unmatched precision. This is a high-impact role for a high-accountability individual ready to become the operational backbone of a firm that values and rewards operational excellence.
Your Mandate: Flawless Execution & Unwavering Service
Master the New Client Onboarding Engine:
You will command the end-to-end process of bringing new clients into the firm. This includes processing all account documentation, executing complex asset transfers (ACATs, rollovers), and configuring accounts with 100% accuracy across our custodian and portfolio management platforms.
Execute High-Stakes Financial Operations:
Your precision will be critical in establishing fee structures, processing annuity and insurance applications, and ensuring every dollar is accounted for and every detail is compliant from day one.
Serve as the Trusted Point of Contact:
You will be a primary service liaison for our existing clients, handling requests for distributions, beneficiary updates, and account maintenance with the professionalism, empathy, and clarity our retirement-aged clientele deserves.
Drive Operational Integrity:
You will maintain meticulous, audit-ready records in our CRM and document management systems, ensuring every client interaction and transaction is recorded with absolute accuracy.
Become an Essential Hub for the Advisory Team:
You will empower our financial advisors by providing them with perfectly prepared account documentation and proactive updates, allowing them to focus entirely on client relationships and strategic advice.
Required Qualifications & Competencies
Experience:
A minimum of 2 years in a financial services operations, client service, or account administration role (RIA, broker-dealer, or custodian environment).
Obsessive Attention to Detail:
You must have a demonstrated, verifiable track record of high-accuracy work in a detail-oriented professional capacity. This is the most critical requirement.
Process Discipline:
You have the ability to manage a high volume of simultaneous workflows, prioritize effectively, and follow structured procedures without deviation.
Technical Aptitude:
You are comfortable and proficient in learning new software, including CRM systems, custodian portals, and portfolio management platforms.
Client Communication Skills:
You possess a professional, patient, and empathetic communication style suited for interacting with pre-retirees and retirees.
Preferred Qualifications
Direct experience with major RIA custodians (e.g., Charles Schwab, Fidelity).
Hands-on experience with portfolio management software (e.g., Orion, Black Diamond) and CRM platforms (e.g., Redtail, Wealthbox).
Working knowledge of asset transfer processes (ACATs) and different investment account types (IRAs, Trusts, etc.).
