You will take complete ownership of the client onboarding and service infrastructure for nearly 1,000 households. This is not a client-facing advisory role; it is a mission-critical operations position where your accuracy, discipline, and efficiency directly impact client security and firm reputation. What You Will Own & Master:
Flawless Onboarding Execution:
Manage the end-to-end new account lifecycle, from reviewing initial paperwork for 100% accuracy to coordinating complex asset transfers (ACATs, rollovers) and ensuring every new account is perfectly configured in our CRM and portfolio management systems.
High-Volume Service Delivery:
Serve as the primary point of contact for existing client operational needs, expertly handling distribution requests, beneficiary updates, and account maintenance inquiries with the professionalism and empathy our retirement-aged clients expect.
Custodian & Systems Command:
Become the firm's subject matter expert on custodian workflows (Schwab, Fidelity, etc.) and internal tech platforms (e.g., Orion, Redtail), ensuring seamless data integrity and operational flow between systems.
Proactive Process Improvement:
Identify and implement workflow enhancements and checklist refinements that increase efficiency, eliminate potential errors, and elevate our standard of service as the firm continues to grow.
Compliance & Quality Assurance:
Uphold rigorous compliance standards by maintaining organized, audit-ready digital and physical files for all client documentation, ensuring every action aligns with SEC regulations and firm policies.
What We Require (The Non-Negotiables):
A Documented History of Meticulous Accuracy:
At least 2+ years of experience in a high-volume operations or client service role within financial services (RIA, broker‑dealer, custodian) where precision was paramount.
Exceptional Organizational Discipline:
The proven ability to manage dozens of simultaneous workflows, prioritize competing deadlines, and maintain elite quality standards without constant supervision.
Financial Technology Aptitude:
A strong comfort level with learning and mastering new software, including CRM, portfolio management systems, and custodian portals.
Client Service Mindset:
A genuine desire to provide clear, professional, and reassuring communication to retirement‑aged clients navigating important financial processes.
