Seeking an Administrative Assistant to join the Veterans Assistance Commission of Lake County (VACLC).
The employee must be a qualified veteran, spouse of a veteran, or a veteran’s dependent.
A veteran is defined as someone who has been separated under honorable conditions from any branch of the U.S. armed forces after serving at least 180 days of active duty, or due to disability incurred during active service, or as a dependent of such a veteran.
Position Overview Under the supervision of the Superintendent, Assistant Superintendent, and the Executive Assistant, this role requires a confident, articulate public speaker with a positive attitude, fully embracing the VACLC mission. You will be the first point of contact for visitors and callers.
Responsibilities
Collaborate with office staff to ensure efficient administrative operations, including answering questions via phone, email, or in person.
Manage scheduling, correspondence, and follow-up on unresolved issues.
Develop and implement office procedures and methods.
Process travel receipts, vouchers, and P-Card statements.
Handle warrants to the county for veterans and their families.
Maintain inventory of supplies and clothing items, and reorder as needed.
Perform intake of veterans and families, and respond to correspondence with resources and reports.
Coordinate work based on guidelines, ensuring accuracy under pressure.
Seek continuous process improvements.
Organize, analyze, and evaluate data and information.
Manage billing and data processing for VACLC programs.
Maintain financial spreadsheets and analyze statistical data.
Troubleshoot office equipment and communicate with vendors to prevent delays.
Multitask effectively supporting multiple team members.
Ensure organizational and time-management excellence.
Handle incoming mail and prepare outgoing correspondence.
Work with VACLC volunteers and perform other duties as assigned.
Qualifications
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, Zoom, Webex, One Base, VetraSpec).
High School Diploma/GED; Associate’s Degree or equivalent experience in customer service (minimum 3 years).
Ability to perform online training on HIPAA, Cyber Security, and office policies.
Strong communication skills, both written and verbal.
Physical ability to perform moderate exertion and operate office equipment.
Reliable transportation, punctuality, and availability for outreach events including evenings and weekends.
Physical and Other Requirements
Moderate physical activity, including standing, walking, and lifting up to 20 pounds.
Ability to work in varied office temperatures and environments.
