Tax Trusts and Estates Paralegal

to support attorneys in their Newark office! This role requires attention to detail, the ability to work independently, and flexibility to handle additional tasks as needed. On-site to start in Newark, NJ by Newark Penn Station. 2 remote days available after 30 days (Mon or Fri)

Responsibilities

Manage estate and trust accounts where firm attorneys act as fiduciaries.

Process payments for expenses, distributions, and other obligations.

Reconcile monthly bank statements and maintain accurate ledgers.

Develop and maintain internal systems for financial tracking and reporting.

Assist with preparing formal accountings and contribute to process improvements that enhance efficiency and reduce costs.

Client & Third-Party Coordination

Serve as a point of contact for clients, beneficiaries, accountants, and financial advisors.

Collect and organize required documentation while ensuring client records remain current and complete.

Provide regular updates to attorneys and clients on the progress of estate and trust matters.

Compile information on assets such as real estate, securities, retirement accounts, and business holdings.

Secure valuations for assets as of the date of death in collaboration with appraisers and institutions.

Prepare detailed inventories and assist in the preparation and filing of estate accountings.

Gather supporting records for federal and state estate/inheritance tax filings.

Trust Administration

Maintain accurate records of trust assets, income, expenses, and distributions.

Prepare trust accountings and track distributions in compliance with governing documents.

Tax & Planning Support

Prepare estate tax projections and planning analyses in collaboration with attorneys.

Estimate administration costs, executor fees, and related expenses.

General Legal Support

Draft template-based correspondence and routine legal documents.

Assist with Surrogate’s Court filings and probate procedures.

Perform targeted research related to estate and trust administration.

Manage the execution and filing of court, tax, and institutional documents, including service of process and affidavits.

Qualifications

Minimum 5 years’ experience as a Trusts & Estates Paralegal in a law firm setting.

Associate’s or Bachelor’s degree required; Paralegal certificate strongly preferred.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems (e.g., iManage).

Strong communication skills, both written and verbal.

Demonstrated ability to work independently, manage multiple priorities, and deliver consistent, high-quality work under tight deadlines.
