A newly created, high-impact role has opened to support the long-standing CEO of a globally connected, mission-driven organization based in the southwest suburbs of Chicago. This trusted Executive Assistant will serve as a true strategic partner—enabling the CEO to operate with clarity, focus, and efficiency across time zones and business functions. This position requires poise, emotional intelligence, and a high degree of confidentiality. You will be the CEO’s right hand—managing scheduling, global travel, communications, and special projects that span international and domestic operations. This role calls for someone who is calm under pressure, anticipatory by nature, and committed to operational excellence. Key Responsibilities
Act as gatekeeper and chief scheduler —owning the CEO’s complex calendar across multiple time zones, departments, and external partners. Coordinate international and domestic travel
logistics (air, hotel, ground), ensuring seamless, efficient experiences including visa/immigration needs, preferences, and contingency planning. Manage inbox and communications —triaging emails, drafting correspondence, and safeguarding confidentiality while ensuring timely response and follow-up. Prepare for internal and external meetings —create agendas, track deliverables, compile materials, and follow up on action items. Liaise with executives and board members —act as an ambassador for the CEO across stakeholder groups, both internally and externally. Support key projects and initiatives —conduct light research, prepare briefings, and contribute to special assignments with precision and discretion. Maintain absolute professionalism —in tone, presence, and execution. This includes polished written and verbal communication, confidentiality, and attention to detail. Uphold and enhance office protocols —ensuring that the CEO’s work environment runs smoothly, securely, and with minimal disruption. What We’re Looking For
10+ years supporting C-suite executives in fast-paced, high-accountability environments. Experience coordinating international travel and cross-border communications. Demonstrated ability to manage complex schedules, shifting priorities, and confidential matters with grace. Exceptional written and verbal communication skills. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and remote platforms (Zoom, Teams). Bachelor’s degree preferred; advanced education or certifications in business administration a plus.
