Overview
Longeviti LLC is seeking an Admin Support/Project Information Specialist with an active Secret clearance and at least five (5) years of administrative management and conference room setup experience to support the USTDA program and administrative functions in Arlington, VA. Responsibilities
Provide general administrative management support to USTDA operations and program staff, including the review and verification of grant and contract deliverables (final reports, cost share certifications, final project for contract and grant invoices), travel management, building and facilities management, and other administrative support. Track expiration of USTDA subscriptions to external publications and draft action memoranda for renewal requests to the Director or Deputy Director of Administration. Review grant RFP packages for completeness and consistency with Agency staff prior to posting on the Agency website. Maintain and update the IRC Document Flow Process Map, assist in identifying process improvements, and support the Agency’s document management and records systems. Assist the Office of Administration with staff onboarding/offboarding, including setting up office space, maintaining staff directories, inventory, and ordering documentation. Provide training to agency staff on IRC functions and Agency document flow and related business processes. Required Experience, Knowledge, Skills, Abilities, Competencies
At least five (5) years of administrative management or relevant work experience. Experience creating and implementing organizational or administrative management policies and procedures. Experience evaluating program effectiveness and recommending improvements. Experience providing training and technical assistance to staff. Experience in information and records management. Proficiency with a variety of IT programs, databases, and computerized systems. Excellent written and verbal communication skills. Commitment to innovative and quality customer service. Physical ability to move a large number of files and/or file boxes. Experience with federal travel regulations. Additional Requirements
Experience setting up conference, board, or training rooms. Experience with office management, building and facilities management, human resources, and/or security. Experience providing on-site technical support and troubleshooting AV equipment during events (microphone, monitor connectivity, presentations, or visual material access). Ability to manage multiple tasks, prioritize work, and meet deadlines. Ability to identify and resolve complex problems. Security Clearance
Active Secret clearance required. Education
College degree in Business or Information Management and/or related certifications preferred. Salary
